Job Purpose
The Warehouse Clerk is responsible for ensuring that all necessary inbound and outbound stock management checks are conducted within the warehouse in accordance with company policies and procedures.
The successful candidate will accurately check picked and palletised stock across the warehouse before dispatch and loading.
Key Responsibilities
GRV Administration
Ensure compliance with established procedures and company standards
Implement required documentation and categorisation according to Group standards
Receive and accurately match GRVs in a timely manner
Match GRV quantities and values to delivery notes
Capture transactions accurately on SAP
Process and capture required SAP transactions
Manage and resolve customer queries
Match creditors' invoices, delivery notes and GRVs received daily
Process short-supplied and over-supplied stock
Ensure all goods entering the company and services performed for the company are GRV'ed
Billing Administration
Ensure loading documents are captured correctly
Pick stock systematically according to FEFO
Print picking, checking and loading documents
Conduct blind checks and balance stock back to picking requirements before billing
Ensure quantities picked and loaded balance with invoiced stock
Weigh picked and bulk stock and balance it against the weighbridge
Print all trip sheets
Check for outstanding shipments and take appropriate action
Record reprinted invoices on the reprint form and file accordingly
Maintain document control until handover is completed
Keep the distribution office clean and orderly
Ensure sufficient invoice paper is available before billing
Keep invoice printers clean and report faults immediately
Verify quantities and pallet configurations before loading
Housekeeping
Maintain a high standard of housekeeping inside the cold room
Maintain cleaning equipment and ensure correct storage
Ensure stock is stacked neatly, squarely and securely
Keep the cage neat and tidy at all times
Ensure floor waste is removed before the end of the day
Keep walkways clean and unobstructed
Ensure pallet boards and pallets are removed timeously from pick levels and the cold room
Cold Chain & Temperature Checking
Take daily temperature readings
Maintain accurate temperature records
Report temperature or equipment problems to the Warehouse Controller
Ensure delivery truck refrigeration units are working before loading and dispatch
Maintain the cold chain at all times
Prevent any break in the cold chain
Minimise the amount of time spent standing outside the cold room
Ensure there is no frozen product in the receiving area
Stock Control
Ensure products are stacked correctly and securely, with lighter products placed on heavier products
Prevent products from being thrown, dropped or otherwise mishandled
Ensure products are not left outside the cold room
Conduct spot checks during dispatch and loading
Ensure correct handling, storage, stacking and rotation of stock
Minimise product damage during receiving, storage and loading
Monitor stock movement from receiving to the cold room and from the cold room to loading
Prevent overloads, short loads and incorrect loads
Stock Count Preparation
Assist with preparing the warehouse for stock counts
Ensure damaged stock is isolated and clearly identified
Ensure products are easily accessible for counting
Conduct daily stock counts as requested by the Warehouse Shift Controller
Loading Rate Monitoring
Maintain and monitor loading speed and accuracy
Complete performance sheets
Record time lost and other operational problems
Timekeeping
Clock in and out at the correct times
Keep overtime to a minimum
Report staff late-coming to the Shift Warehouse Controller
Occupational Health & Safety
Comply with health and safety regulations and ISO requirements
Maintain high standards of housekeeping
Support fire and accident prevention
Follow safe working practices and proper job instructions
Identify and help eliminate workplace risks
Good Handling Practices
Ensure loading and freezer doors remain closed
Maintain a glass-free environment by covering glass fixtures and keeping cups and bottles away from products
Ensure trucks are properly pre-cooled before loading
Teamwork & Self-Management
Take ownership and accountability for assigned tasks
Plan and prioritise work effectively
Demonstrate commitment to self-development
Give work instructions to Loaders, Forklift Drivers, Reach Truck Drivers and Pickers when the Shift Warehouse Controller is absent
Ensure quality and productivity standards are consistently maintained
Communicate potential risks, missed deadlines and operational issues to relevant parties
Provide appropriate solutions where required
Support and promote the company's core values
Manage colleagues' and clients' expectations professionally
Demonstrate a willingness to assist others and go the extra mile to achieve team targets
Key Performance Indicators (KPIs)
Performance will be measured against:
Availability of accurate warehouse performance indicators and metrics
Correct palletisation and loading of stock
Internal customer satisfaction
Overall loading accuracy
Health and safety compliance and risk elimination
Accurate timekeeping
Delivery loading and offloading efficiency
Qualifications & Experience
Minimum Requirements
Grade 12 / Matric certificate
Minimum 2 years' warehouse experience in FMCG, food production or a cold-storage environment
Basic computer literacy
Experience in stock handling
Experience in dispatch administration
Experience processing customer returns
On-the-job training in SOPs, quality standards and food safety processes
Advantageous
Warehouse or Logistics-related certificate
Understanding of food safety and cold-chain standards
Experience working in a temperature-controlled warehouse
Skills & Competencies
The ideal candidate should have:
Knowledge of warehouse and dispatch operations within FMCG or cold-storage environments
Understanding of stock control principles, including FEFO rotation
Knowledge of food safety, hygiene and Occupational Health & Safety requirements
Ability to interpret delivery documentation, invoices, loading schedules and stock reports
Strong numerical accuracy and attention to detail
Computer literacy, including warehouse or ERP SAP systems
Microsoft Office skills
Strong organisational and administrative abilities
Ability to work accurately in a fast-paced warehouse environment
