Junior Receptionist Job Opportunity
Tsebo Facilities Solutions is looking for a Junior Receptionist to provide a professional, welcoming and customer-focused front-of-house experience for visitors, guests, employees and contractors.
The successful candidate will be responsible for managing reception services, maintaining workplace standards, coordinating visitor management processes, supporting facility operations and ensuring an efficient, safe and professional workplace environment.
Duties and Responsibilities
Front-of-House & Customer Service
Serve as the first point of contact for visitors, guests, employees and contractors.
Provide a professional, friendly and efficient reception service.
Manage visitor registration, access procedures and guest hospitality requirements.
Handle incoming calls through the switchboard/PABX system.
Direct enquiries to the appropriate departments or employees.
Investigate and resolve customer queries and complaints.
Build positive relationships with clients, visitors, service providers and colleagues.
Workplace & Facilities Coordination
Coordinate meeting room bookings and ensure rooms are prepared.
Monitor reception areas, meeting rooms, kitchens, restrooms and common areas.
Ensure workplace areas are clean, presentable and ready for use.
Maintain stationery and office consumables.
Liaise with cleaning, hygiene, security, indoor plant and other service providers.
Escalate maintenance and workplace service issues when required.
Operational Administration
Maintain accurate visitor, contractor and service records.
Compile daily, weekly and monthly operational reports.
Record incidents, customer feedback, compliments and complaints.
Ensure compliance with workplace procedures and health and safety requirements.
Support workplace projects, events and initiatives.
Quality & Compliance
Conduct routine workplace inspections.
Identify areas requiring attention.
Monitor service delivery standards.
Report non-conformances.
Follow health, safety, security and operational escalation procedures.
Promote service excellence and continuous improvement.
Skills and Competencies
Microsoft Office Suite — Outlook, Word, Excel and Teams
Switchboard/PABX operation
Visitor management systems
Report preparation and administration
Facilities coordination
Stock and inventory management
Health and safety awareness
Excellent communication skills
Strong customer-service skills
Good organisational and administrative abilities
Qualifications
Grade 12 / Matric is essential.
A relevant qualification in Hospitality, Customer Service, Business Administration or Office Management will be advantageous.
Experience
2–3 years' experience in reception, front-of-house, customer service, concierge or workplace services.
Experience in a corporate, hospitality or client-service environment.
Experience interacting with clients, visitors and suppliers.
