Job Description

The Western Cape Government Department of Health and Wellness is inviting applications from suitably qualified and experienced candidates for 4 Administration Clerk: Admissions positions at various healthcare institutions in the Western Cape.

The successful candidates will be responsible for patient admissions, records management, appointment scheduling, information management and other administrative duties within the healthcare environment.

Available Positions

  • District Six CDC – 1 post

  • Kensington CDC – 1 post

  • Houtbay CDC – 1 post

  • Maitland CDC – 1 post

Salary

R237,453 – R279,708 per annum

The annual salary includes service benefits such as:

  • 13th cheque

  • Employer contribution to the pension fund

  • Housing allowance

  • Medical aid allowance

Minimum Educational Qualification

Applicants must have:

  • Senior Certificate (Grade 12) or equivalent

Experience

  • Appropriate experience in Admissions.

Knowledge and Skills

Candidates should have:

  • Computer literacy

  • Good verbal and written communication skills

  • Good interpersonal skills

  • Knowledge of Hospital Fees Memorandum, Chapter 18

  • Knowledge of the Public Finance Management Act (PFMA)

  • Knowledge of the Uniform Patient Fee Structure (UPFS)

  • Knowledge of PHCIS

  • Ability to work under pressure

  • Ability to work independently and without supervision

  • Ability to work effectively as part of a team

  • Ability to accept accountability and responsibility

  • Ability to maintain confidentiality

Inherent Requirement

The successful candidate must:

  • Be willing and able to perform relief duties as required.

Key Duties and Responsibilities

The successful candidate will be responsible for:

Patient Admissions

  • Obtain patient information and capture it accurately on the computer system.

  • Admit patients and ensure information is correctly recorded.

  • Ensure proper management of patient folders at reception areas.

  • Schedule new, follow-up and operation appointments on the relevant system.

  • Ensure correct patient assessment and accurate data recording.

Records Management

  • Compile new patient folders.

  • Retrieve and file patient folders.

  • Trace lost folders.

  • Manage duplicate and old patient folders.

  • Maintain an effective recordkeeping system.

  • Manage and archive patient records appropriately.

Financial Administration

  • Accurately collect, safeguard and deposit state money.

  • Ensure proper handling of funds in accordance with applicable procedures.

Enquiries and Communication

  • Deal with written and telephone queries relating to patient admission matters.

  • Provide accurate information and assistance to patients and other relevant parties.

Information Management

  • Collect and collate daily statistics at reception.

  • Ensure information is accurately recorded and maintained.

General Administration

  • Provide administrative support to the supervisor.

  • Perform relief duties when required.

  • Maintain confidentiality and adhere to applicable policies and procedures.
