CIT-Administrator Job Opportunity

Lesaka Technologies is looking for a CIT-Administrator to join its team in Johannesburg.

The successful candidate will provide comprehensive administrative, coordination and operational support for the Cash-in-Transit (CIT) function.

This role is responsible for supporting CIT service delivery, client queries, contracts, scheduling, audits, invoicing, reconciliations, risk-related activities and stakeholder communication.

The successful candidate will act as an important link between clients, internal departments and CIT service providers, ensuring that collections, route scheduling, pricing, contracts and service changes are managed efficiently and within agreed service levels.

Key Responsibilities

CIT Queries & Service Coordination

  • Resolve non-service delivery complaints and CIT-related queries.

  • Arrange ad hoc collection services.

  • Create Public Holiday surveys.

  • Arrange Public Holiday schedules for End-to-End clients.

  • Provide the Sales team with detailed updates regarding clients requesting Public Holiday collections.

  • Ensure Public Holiday notifications are issued timeously.

  • Respond to queries received through CIT support email, WhatsApp groups, Call Centre enquiries and telephone calls within the required 24–48 hour SLA.

  • Process changes to service days and CIT service requests timeously.

  • Ensure terminations and relevant notices are sent when required.

  • Arrange for CIT tags to be delivered to or collected from sites.

  • Escalate non-tag collections from new sites to the relevant CIT Account or Branch Managers.

  • Ensure outstanding tags are collected as soon as possible.

  • Arrange for CIT to return to a site when required by Operations or the Technical Department.

  • Arrange tag replacements with Operations and CIT service providers.

  • Escalate deployment queries to the relevant CIT service provider.

  • Ensure contracts are filed weekly.

  • Ensure Addendums, Sales Orders and IOS documentation are sent to the relevant CIT Account or Regional Managers.

Contracts Administration

Ensure all documentation received by CIT is complete and accurate for sign-off, including:

  • CIT client codes.

  • Route and schedule information.

  • Servicing branch details.

  • Pricing.

  • Service frequency.

  • Service days.

  • Commencement dates for invoicing.

CIT Audits

  • Maintain and update route and schedule audits on an ongoing basis.

  • Update, analyse and complete annual tag audits.

  • Ensure audit information is accurate and up to date.

Pricing, Invoicing & Finance

  • Manage pricing and service-frequency requests for areas outside metropolitan regions.

  • Escalate pricing disputes and special-pricing requests to the Operations CIT Manager.

  • Escalate invoicing and pricing disputes.

  • Assist Finance with CIT pricing-related queries.

  • Negotiate CIT fees for sites with CIT service providers.

  • Provide Finance with accurate information where credits are due.

  • Request credits from CIT service providers for non-collections or missed collections.

  • Follow up with CIT service providers regarding outstanding pricing disputes and queries.

  • Check and sign off consumable invoices.

Reconciliations

  • Assist with tracking and tracing bags that should have been delivered to the Cash Centre.

  • Obtain proof of collection and proof of delivery documentation from CIT companies.

  • Provide PODs to the Reconciliations team.

  • Assist with resolving discrepancies relating to collections and deliveries.

Risk Management

  • Assist the Risk team in ensuring that system data is accurate and up to date.

  • Assist with route risk analysis.

  • Obtain required approvals from CIT companies for N10K collections.

  • Analyse on-site and route risk where clients request a reduction in collection frequency.

  • Provide management with findings and recommendations.

  • Obtain the necessary management approval and communicate outcomes to Sales and Deployment teams.

  • Confirm route information following incidents such as vehicle bombings.

  • Communicate with Branch Managers and/or Operations Managers regarding Cross Pavement Robbery incidents.

  • Send daily evening reports to CIT service providers to assist with appropriate banking splits on vehicles for risk-management purposes.

Stakeholder Management

  • Maintain strong relationships with key internal and external stakeholders.

  • Communicate effectively with internal teams, clients, CIT service providers and other business partners.

  • Ensure stakeholders receive accurate and timely information.

  • Support effective collaboration between operational teams and service providers.

Minimum Requirements

Applicants must have:

  • Matric / Grade 12.

  • Previous experience in an administrative or operations support role.

  • Experience managing customer queries, service requests and stakeholder communications.

  • Experience with contract administration, records management and audit support.

  • Exposure to invoicing, reconciliations, pricing administration and financial query resolution.

  • Experience coordinating multiple service providers and internal stakeholders in a fast-paced operational environment.

  • Experience using operational databases, reporting tools and Microsoft Office applications.

Advantageous Qualifications & Experience

The following will be advantageous:

  • Relevant qualification in Administration, Operations, Logistics, Supply Chain or Business Administration.

  • Experience in the Cash-in-Transit (CIT), banking, cash management, logistics or security services environment.

  • Experience working with CIT operations and service providers.
