Job Purpose
The Personal Assistant will provide day-to-day personal assistant, secretarial and administrative support to senior management.
The successful candidate will act as the manager's first point of contact for internal and external stakeholders and will be responsible for effective diary and email management, meeting coordination, office administration, travel arrangements, document management and general administrative functions.
Key Responsibilities
Plan and coordinate meetings and manage daily administrative operations.
Effectively manage diaries and calendars.
Coordinate critical meetings and ensure the availability of key stakeholders.
Identify and resolve diary clashes and scheduling conflicts.
Book meeting rooms and arrange visitor access and parking.
Arrange catering and refreshments for meetings.
Receive visitors and telephone calls and provide information to callers.
Schedule appointments and manage messages on behalf of management.
Prepare, type and format correspondence, agendas, memoranda, reports and meeting minutes.
Attend meetings and accurately record minutes and action items.
Maintain a professional company image in all interactions.
Prioritise and negotiate organisational requirements relating to meetings, deadlines and timeframes.
Manage projects and administrative deliverables independently and within agreed deadlines.
Proofread documents for grammar, formatting, completeness and accuracy.
Prepare and maintain office records, reports and correspondence.
Maintain electronic and hard-copy filing systems.
Retrieve, reconcile and analyse information from internal and external sources for management reports.
Monitor budgets and expenses and provide relevant reports and trend analysis.
Order and maintain stationery, office supplies and equipment.
Coordinate local and international travel, accommodation and venue arrangements.
Assist with passports, international visas, driver's licences, car hire, roaming facilities and foreign currency requirements when necessary.
Manage administrative logistics relating to venues, travel and accommodation.
Identify opportunities to improve administrative processes.
Maintain and oversee the appropriate use of office equipment and facilities.
Ensure compliance with applicable safety standards and procedures.
Maintain effective relationships with internal and external stakeholders.
Respond to stakeholder queries professionally and within required timelines.
Assist other Personal Assistants with systems and administrative processes.
Keep informed about relevant industry and technological developments.
Adapt communication style and methods to suit different audiences.
Additional Responsibilities
The successful candidate will also act as the first point of contact for the SVP and will be responsible for:
Preparing correspondence and management documentation.
Receiving and assisting visitors.
Arranging conference calls and meetings, including venues and required equipment.
Ensuring documentation is prepared accurately and on time.
Maintaining, storing and electronically filing information.
Supporting effective office administration and management.
Managing invoices and payment processes relating to the SVP and, where required, the EVP Commercial & Legal.
Applying prescribed document formatting guidelines and templates.
Implementing and sharing innovative administrative processes.
Resolving customer-service issues effectively and efficiently.
Demonstrating professionalism in all conduct, attitudes and behaviours.
Promoting teamwork and contributing to improved team effectiveness.
Minimum Requirements
Formal Education
National Senior Certificate (Grade 12) / Matric.
Work Experience
At least 3 years of relevant experience.
Technical Skills
The successful candidate should have:
Advanced proficiency in Microsoft Outlook.
Advanced proficiency in Microsoft Word.
Advanced proficiency in Microsoft Excel.
Advanced proficiency in Microsoft PowerPoint.
Advanced proficiency in Microsoft Teams.
Proficiency in applicable SAP transactions.
