Job Overview
The Logistics Department plays a critical role in supporting the International Sourcing team by ensuring that imported shipments are accurately documented, processed, and tracked throughout the inbound supply chain.
This position combines financial administration and logistics coordination, requiring exceptional attention to detail, strong organizational skills, and the ability to manage high volumes of work while maintaining accuracy. The successful candidate will work closely with suppliers, freight forwarders, clearing agents, and internal stakeholders to ensure the smooth flow of imported goods.
Key Responsibilities
Shipment Coordination
Confirm supplier bookings for incoming shipments.
Open and record shipments upon receipt of import documentation.
Monitor, track, and update the status of all incoming shipments.
Ensure shipment information is accurately maintained and updated.
Coordinate inbound delivery schedules with warehouses and logistics planning teams.
Documentation and Administration
Capture and verify invoices, packing lists, bills of lading, and other import documentation.
Maintain accurate shipment records and filing systems.
Store and manage original shipping documentation.
Ensure all documentation is complete and compliant with company requirements.
Logistics and Import Control
Track all incoming shipments and ensure suppliers are paid according to agreed terms.
Review freight forwarder and clearing agent reports.
Follow up on shipment delays, discrepancies, or outstanding matters.
Investigate and resolve issues relating to imported goods.
Ensure all shipments are delivered within required timelines.
Compliance and Reporting
Ensure import processes comply with SARS customs regulations and internal company policies.
Assist with month-end logistics and administrative functions.
Provide shipment visibility and updates to internal stakeholders.
Support logistics reporting and operational planning activities.
Minimum Requirements
Education
Grade 12 / Matric.
Import-related training or qualification relevant to the role.
Experience
Minimum of 3 years’ relevant work experience.
Experience in imports and logistics administration.
Knowledge and understanding of import procedures and documentation.
Experience working within a team environment.
Skills and Competencies
Technical Skills
Strong computer literacy.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Working knowledge of Oracle Financials.
Experience with TradeCloud will be advantageous.
Excellent knowledge of import documentation and logistics processes.
