Job Summary:
The Admin Clerk (Maintenance) will perform a variety of clerical tasks in support of the maintenance department. This includes responsibilities related to timekeeping, requisitions, supplier liaison, documentation control, basic reporting, and administrative compliance in areas such as hygiene and safety.
Minimum Requirements:

Grade 12 (National Certificate)
-
Diploma in Administration (advantageous)

1–2 years of relevant administrative experience
-
Computer literacy in MS Word, Excel, PowerPoint, and email
-
Fluent in English (reading, writing, and speaking)
-
Good organizational skills and attention to detail
-
Basic understanding of general hygiene practices and HACCP
-
Valid driver’s license
-
Ability to work under pressure and outside normal hours when required
Key Duties and Responsibilities:
-
Manage attendance records and timesheets
-
Handle leave applications and absenteeism tracking
-
Monitor daily water and electricity usage and maintain tracking files
-
Process overtime schedules and ensure authorization compliance
-
Maintain PPE check records and pass-out registers for assets and waste
-
Use Syspro to manage non-stock orders and requisitions
-
Track supplier orders, backorders, and handle credit notes
-
Prepare CAPEX documentation and maintain Excel-based budgets
-
Compile and distribute monthly reports (water, electricity, efficiency)
-
Collect and submit petrol books
-
Prepare monthly PowerPoint presentations for maintenance updates
-
Take and file meeting minutes
-
Operate Windows, Syspro, and Pragma software effectively

Maintain the department’s Action List
-
Perform additional relevant duties as required
