Job Purpose

To provide full administrative support to the Learning & Development Department, including training and event coordination, document management, reporting, stakeholder communication, and purchasing activities.


Key Performance Areas (KPAs)

1. Office Management

  • Maintain organized filing systems (training records, quotes, invoices).

  • Schedule meetings, seminars, and workshops.

  • Handle departmental correspondence and document preparation.

  • Coordinate departmental logistics, travel, stock, and office tasks.

  • Assist in audits (HWSETA, SANAS).

  • Record and minute meetings; capture CPD events.

2. Training & Event Management

  • Coordinate internal/external training bookings, travel, meals, and venues.

  • Prepare training materials and communicate updates.

3. Documentation & Reporting

  • Maintain attendance registers, training records, and archives.

  • Generate SETA, CPD, travel, and skills reports.

  • Upload data to LMS (Learner Management System) and digital learning portals.

  • Maintain provider and learner databases.

4. Stakeholder Liaison

  • Interface with HPCSA, SMLTSA, HWSETA for registration, exams, payments.

  • Maintain accurate SETA and learnership records.

5. Document Management (SAP)

  • Create, format, and revise documents in SAP DMS (A01-A09).

  • Perform QA and follow up on outstanding or rejected documents.

6. Purchasing & Finance

  • Coordinate departmental CAPEX/OPEX.

  • Source quotes, track orders, generate shopping carts.

  • Confirm and process invoices with the Finance department.


Required Qualifications

  • Grade 12

  • National Certificate in Training Administration, Office Administration, or Occupationally Directed Education and Training Diploma


Experience & Skills

  • Intermediate MS Office (Excel, Word)

  • Proficiency in SAP and SAP DMS

  • Knowledge of quality systems and relevant SOPs

  • Training administration, diary management, and reporting
