Introduction
The South African National Blood Service (SANBS) is seeking a Transport Administrator to provide efficient administrative and operational support to the Transport Department.
The successful candidate will be responsible for coordinating transport documentation, maintaining accurate records, supporting fleet and driver activities, and ensuring compliance with organisational policies, health and safety standards, and relevant regulatory requirements.
The role contributes to the effective, cost-efficient and reliable delivery of transport services through accurate administration, communication, coordination and data capturing.
Key Performance Areas
1. Documentation Management
The successful candidate will be responsible for organising, monitoring and controlling documentation within the Transport Department.
Key responsibilities include:
Organising workshops, seminars, meetings and other events for the Head of Department (HOD) and departmental staff.
Assisting with meeting minutes and the collation of business plans, policies, procedures, strategies, processes, methods and projects.
Taking minutes at departmental meetings and preparing them for final approval.
Taking minutes at quarterly, monthly and office meetings, as well as other meetings when required.
Distributing approved meeting minutes to relevant stakeholders within three days of each meeting.
Making corrections and amendments to documents and forms when required.
Arranging for the printing of booklets, training manuals and other departmental documentation.
Coordinating travel arrangements for the HOD and departmental staff, including flights, accommodation, itineraries and expense reimbursements.
Ensuring that Dispatch Controllers submit all required documentation to the Administration Controller for accurate capturing and filing.

2. Transport Department Administration
The successful candidate will ensure that administrative activities within the Transport Department are performed efficiently and accurately.
Responsibilities include:
Answering and managing telephone calls.
Coordinating and scheduling the allocation of vehicles and routes to drivers.
Organising and maintaining transport-related paperwork and document flow.
Performing additional administrative duties as requested by the Dispatch Controller.
3. Fleet Management Administration
The successful candidate will ensure that Fleet Management System administration is completed accurately and within the required timeframes.
Responsibilities include:
Capturing all vehicle checklists and reporting discrepancies to the Head of Transport or Dispatch Controller.
Capturing delivery and collection sheet schedules.
Capturing vehicle-related fines.
Capturing proof of deliveries and delivery sheets.
Capturing and filing insurance claims.
Identifying and reporting discrepancies relating to fleet documentation and records.

Minimum Requirements
Education
Grade 12 / Matric
Experience & Knowledge
At least 2 years' experience in an administration, filing and data-capturing environment.
At least 1 year of experience in order receipt and processing.
Computer literacy.
Fluent in English.
Additional Requirements
Knowledge and/or experience with SAP and/or SAP SRM.
Proficiency in MS Office.
Knowledge of the Health and Safety Act.
Valid Code 08 / Code B driver's licence.
Special Circumstances
Willingness to work overtime when required.
