Job Overview
Unitrans is seeking to employ an Administration Officer II to provide general administrative and clerical support to the functional team.
Under general supervision, the successful candidate will perform a variety of administrative duties, including compiling and arranging information, processing documents, maintaining accurate records, data capturing and supporting day-to-day office operations.
The role requires a detail-oriented individual who can maintain accurate documentation, support payroll and leave administration, communicate effectively with clients and staff, and ensure that administrative processes are completed accurately and on time.
Minimum Requirements
Grade 12 / Matric / NQF Level 4.
Advanced Certificate / NQF Level 5 or equivalent.
Up to 3 years' experience in a similar administrative role.
Good administrative and organisational skills.
Computer literacy and accurate data-capturing skills.
Good communication and customer service skills.
Strong attention to detail and ability to maintain accurate records.
Duties & Responsibilities
POD & Trip Sheet Administration
Verify Time and Attendance by cross-referencing various reports.
Ensure that Proof of Deliveries (PODs) are completed daily.
Collect PODs and trip sheets.
Ensure trip numbers are correctly recorded on PODs.
Monitor outstanding PODs and ensure all required documentation is received.
Load PODs onto the electronic system and retain the necessary copies and proof.
Liaise with clients regarding completed PODs.
Record all relevant POD information on schedules and registers.
Ensure trip sheets are signed daily.
Maintain accurate and up-to-date documentation.
Records & Document Management
File documentation daily according to order number sequence.
Perform copying, filing and scanning duties.
Save and maintain electronic records on SharePoint.
Ensure files are regularly updated and properly maintained.
Update and maintain administrative records.
Ensure all documentation is accurately captured and easily accessible.
General Administration
Provide reception and telephone support.
Perform accurate data capturing.
Take and distribute meeting minutes where required.
Assist with general clerical and administrative duties.
Compile daily hours worked.
Compile weekly inputs for wage processing.
Monitor and administer staff leave.
Assist employees and staff members with administrative queries.
Customer & Staff Support
Maintain good customer relationships through professional and courteous daily interactions.
Liaise with clients to resolve POD and documentation-related queries.
Provide administrative assistance to staff.
Respond to staff queries and escalate matters where necessary.
Work collaboratively with colleagues and other departments to ensure efficient administration.
