Main Purpose of the Position
The Facilities Administrator will serve as a key administrative contact between suppliers, clients and internal stakeholders. The successful candidate will be responsible for supplier administration, invoice processing, query resolution, record keeping and ensuring that vendor invoicing meets the required standards and KPIs.
Key Responsibilities
Act as the primary contact and liaison for supplier administrative personnel.
Communicate with suppliers and stakeholders via telephone and email.
Manage and resolve client and supplier complaints, queries and requests.
Ensure supplier invoices are uploaded in the correct format.
Verify that invoices are completed according to established guidelines.
Check and verify invoice data before moving transactions to the appropriate approval stage.
Ensure all approved invoices are processed and submitted to the client.
Maintain accurate daily statistics of all transactions.
Ensure records and supporting documentation are saved on the central Knowledge Drive.
Follow up on outstanding vendor invoices.
Drive vendor invoicing performance against targeted KPIs.
Maintain strong, professional and long-term relationships with clients, suppliers and client managers.

Minimum Requirements
Education
Grade 12 / Matric or
Relevant degree.
Experience
2–3 years' relevant experience in invoicing and end-user support.
Previous experience within the Facilities Management industry is essential.
Strong technical knowledge.
Retail experience will be advantageous.
