Clerk Job Vacancy at Sasol

Sasol is seeking a Clerk to provide administrative support to an allocated team and contribute to efficient day-to-day operations.

The successful candidate will perform a range of office administration, coordination, record-keeping and support duties while maintaining professional communication with internal and external stakeholders.

Purpose of the Job

The purpose of this position is to provide administrative support to an allocated team and promote administrative efficiency in day-to-day operations.

Duties and Responsibilities

The successful candidate will be responsible for:

  • Handling enquiries and providing general office support.

  • Scheduling appointments and maintaining calendars.

  • Preparing presentations, documents, letters and reports.

  • Organising and attending meetings.

  • Taking minutes and maintaining meeting notes.

  • Booking meeting rooms and conference facilities.

  • Coordinating travel and accommodation arrangements.

  • Arranging internal and external conferences, functions and events.

  • Ordering and maintaining stationery, equipment and office supplies.

  • Managing appointments and providing general office administration support.

  • Mailing documents, newsletters and other information when required.

  • Coordinating and implementing office procedures.

  • Organising and storing paperwork, documents and electronic information.

  • Photocopying and printing documents as required.

  • Completing forms in accordance with company procedures.

  • Typing and distributing meeting notes, routine correspondence and reports.

  • Receiving and responding to correspondence.

  • Sorting, filing and cross-referencing documents and materials.

  • Utilising, reconciling and manipulating data for management reports from internal and external sources.

  • Capturing data in standardised formats.

  • Maintaining hard-copy and electronic filing systems.

  • Managing, maintaining and updating records, reports and files.

  • Distributing mail and retrieving, delivering and copying files and documents when required.

  • Locating and attaching appropriate files to incoming correspondence requiring responses.

  • Adhering to agreed service level agreements.

  • Liaising with colleagues and external contacts regarding travel and accommodation.

  • Answering telephone calls, providing information, taking messages and transferring calls to the appropriate individuals.

  • Liaising with employees in other departments and external contacts.

  • Welcoming, assisting and directing visitors, clients, callers, staff and other stakeholders.

  • Communicating professionally with internal and external clients.

  • Monitoring departmental expenditure and maintaining appropriate records for the Manager.

  • Compiling records, organising and maintaining files and posting records.

  • Completing invoicing as required.

  • Controlling stock levels of stationery and office supplies.

Minimum Requirements

Formal Education

  • Grade 12 / N3 Certificate.

  • English proficiency.

Work Experience

  • At least 1 year of relevant work experience.
