Job Purpose
The Banqueting Administrator will be responsible for ensuring that the administrative and financial processes supporting the Banqueting Department are accurate, organised and completed on time.
The role will work closely with Banqueting Managers, Coordinators, Sales, Finance and Operations to ensure that events are properly documented, financially controlled and executed smoothly.
Key Responsibilities
The successful candidate will be responsible for:
Banqueting Administration
Maintain accurate function sheets, event documentation and booking records.
Ensure all banqueting administration is accurate, complete and up to date.
Assist with the planning and coordination of conferences, events and banqueting functions.
Maintain accurate records of bookings and event requirements.
Provide administrative support to the Banqueting Department.
Ensure relevant documentation is available to the appropriate teams before and during events.
Financial Administration
Process billing and invoicing accurately and timeously.
Assist with reconciliations and revenue tracking.
Monitor financial information relating to banqueting functions.
Identify and resolve discrepancies in billing and financial records.
Ensure financial documentation is properly maintained.
Work closely with the Finance Department regarding invoices, payments and reconciliations.
Systems and Data Management
Capture and maintain accurate information on Protel and CRM systems.
Ensure event and booking information is kept current and accurate.
Generate and maintain relevant reports and administrative records.
Assist with data management and reporting requirements within the Banqueting Department.
Maintain confidentiality and accuracy when handling guest and company information.
Communication and Coordination
Liaise with Banqueting Managers and Coordinators regarding event requirements.
Work closely with Sales, Finance and Operations to support seamless event execution.
Communicate effectively with hotel staff and guests.
Respond to administrative queries in a professional and timely manner.
Assist with resolving operational and administrative issues relating to banqueting functions.
Minimum Requirements
Applicants should meet the following requirements:
Matric / Grade 12.
A qualification in Hospitality, Business Administration or Events will be advantageous.
Previous experience in hotel or banqueting administration is preferred.
Strong administrative and financial administration skills.
Experience with invoicing, billing and reconciliations.
Good working knowledge of Microsoft Excel and Microsoft Word.
Experience with Protel, CRM platforms or similar hotel/reporting systems will be advantageous.
Ability to work independently and as part of a team.
Excellent communication skills.
Ability to communicate professionally with hotel guests and employees.
