Service Administrator
Location: Johannesburg, South Africa (ZA, 1462)

Purpose of the Role
To manage and process all workshop-related administrative functions efficiently, ensuring accuracy in job card handling, warranty claims, parts management, and invoicing.
Key Responsibilities
Warranty and Maintenance Claims

Submit claims according to procedures and within deadlines

Minimize rejection rate to zero

Correct disposal and marking of parts
-
Maintain accurate and complete supporting documentation (photos, job cards, reports, etc.)
Job Card Processing
-
Open and manage job cards with accurate vehicle and service details
-
Record service type and additional issues reported
-
Allocate costs to appropriate accounts (customer, warranty, or maintenance)

Ensure all job cards are signed by responsible parties
Sublet/Outwork Orders
-
Track work-in-progress and follow up with team leaders
-
Confirm all job details are filled (times, work done, parts used)

Obtain all required sign-offs prior to job closure
Job Costing and Invoicing

Enter labor, parts, sublet work, and other charges
-
Include breakdown details when applicable

Finalize invoices and ensure approval before releasing vehicles
-
Issue gate pass only after payment is confirmed
Qualifications and Experience
-
Matric / N3 or equivalent
-
Minimum 4 years’ experience in a similar administrative role
-
Computer literacy required
-
Experience with SAP and/or GDS Fusion preferred

Strong administrative and documentation skills
