Stock In Transit & Returns Specialist

Purpose of the Job

The Stock In Transit and Returns Specialist is responsible for managing stock movements between facilities, tracking goods in transit, and ensuring accurate and timely handling of returns and collections. This role involves close communication with customers and internal teams, playing a key part in maintaining a smooth and efficient supply chain while improving customer satisfaction.


Key Responsibilities

Operational Support

  • Serve as the first point of contact for logistics-related customer queries.

  • Respond to queries regarding delivery schedules, estimated times of arrival (ETAs), proof of delivery (PODs), and incorrect or missing shipments.

  • Send daily updates to customers on delivery failures and value-related issues from the previous day.

  • Manage delivery issues, re-deliveries, and return processes.

  • Track and follow up on warehouse orders and update daily reports (e.g., Warehouse Order Tracking/WIP, Freight Management Detail report).

  • Ensure timely dispatch and delivery of customer orders, particularly for booking customers.

  • Adjust delivery dates in case of volume-related delays based on service lead times.

  • Communicate order cancellations and collections promptly to the warehouse team.

  • Coordinate same-day and priority deliveries, keeping customers updated.

  • Submit daily priority list reports to the Customer Service Supervisor by 4:00 PM.

  • Follow up on overdue POD status codes until resolved.

  • Log all internal and external customer service queries daily.

  • Provide ad hoc support to other teams within the customer service function.


Minimum Requirements

  • Grade 12 (Matric)

  • Diploma or certificate in Logistics, Supply Chain, or Customer Service – preferred

  • 2–3 years of experience in a similar logistics or customer service role

  • Prior experience in logistics or supply chain – highly advantageous

  • Proficient in Microsoft Office (Excel, Outlook, Word)


Required Skills

  • Good understanding of logistics and supply chain operations

  • Data entry accuracy and reporting ability

  • Strong problem-solving and conflict resolution skills

  • Ability to multitask and manage time effectively

  • Attention to detail in tracking and documentation

  • Experience with preparing operational and service-related report
