Job Purpose:
The Parts Administrator will be responsible for processing customer orders, managing inventory, coordinating with suppliers, and providing excellent customer service in a fast-paced truck and trailer parts environment.
Key Responsibilities:

Process customer orders via phone, email, or online platforms

Maintain accurate parts inventory records and stock levels
-
Liaise with suppliers to ensure timely parts procurement and delivery

Generate quotes, invoices, and handle order-related queries
-
Track deliveries and work closely with logistics teams
-
Provide administrative support to the sales team (order entry, reports, documentation)

Prepare sales and stock movement reports
-
Maintain records of customer transactions and communication
-
Adhere to internal procedures and health & safety policies

Contribute to customer satisfaction through excellent service and quick response times
Key Performance Indicators:

Minimum Requirements:

Experience in administration or customer service (preferably in a parts or technical sales environment)

Strong organizational and multitasking abilities

Excellent written and verbal communication skills

High level of numeracy and attention to detail

Proficient in MS Office (Excel, Word, Outlook) and ERP/inventory systems

Familiarity with parts systems or manufacturer platforms

Basic technical understanding of parts/products
