Purpose of the Role
To provide front office and general administrative support to the Head Office, contributing to smooth daily operations and effective internal coordination.
Minimum Requirements
-
Matric / National Certificate
-
Tertiary qualification in Office Management, Administration, or Business (preferred)
-
6 months administrative experience (advantageous)
-
Proficiency in Microsoft Office (Excel advantageous)
-
Valid Code B driver’s license (advantageous)
Key Responsibilities
Front Office & Reception:
-
Answer and direct incoming calls or take messages
-
Welcome and manage visitors professionally
Administrative Support:
-
Generate and receipt purchase requisitions for Head Office expenses
-
Distribute birthday memos
-
Schedule meetings, take and distribute minutes
-
Assist with petty cash management
Facilities & Coordination:
-
Prepare training/meeting rooms per requests
-
Coordinate catering and refreshments for meetings and training sessions
-
Engage with service providers for lease/building needs
-
Monitor and complete monthly and ad hoc services at Head Office
Office Supplies & Maintenance:
-
Order and maintain stock of office consumables and stationery
-
Ensure cleanliness and readiness of meeting, printing, and refreshment areas
-
Maintain water dispensers and bar fridges with necessary supplies
Travel & Accommodation:
-
Assist with booking travel and accommodation for Head Office staff and training attendees
Budget Tracking:
-
Track and report Head Office expenditures for budgeting purposes
