Purpose of the Job:

To ensure that received legal cost bills/files are correctly allocated on the legal cost system for assessment, marked for payment, and managed with proper administrative support.


Key Performance Areas:

1. Office Administration

  • Pre-screen files and bills for branch correctness.

  • Update file information to match claim system (e.g., claim numbers, attorneys).

  • Stamp, sort, and separate fee analyses, taxations, and block settlements.

  • Identify High Court matters (merits, quantum, or both).

  • Redirect bills to correct regions and scan/email accordingly.

  • Update file status and allocation on claim systems.

  • Maintain accurate records of file movement and pending legal cost payments.

  • Retrieve, uplift, and file documents.

  • Handle internal/external telephone and email queries.

  • Liaise with attorneys regarding missing or corrected documents.

2. Validation of Bills

  • Verify accuracy of bills (correct attorneys, claim numbers, previous payments).

  • Ensure offers are loaded on the legal cost system.

  • Allocate files/bills within required timeframe.

3. Batching and Indexing

  • Print payment histories.

  • Manually record all bills daily before authorisation.

  • Submit payment batches and reports to Finance.

4. Reporting

  • Maintain daily activity stats and submit regular reports to management.


Minimum Requirements:

  • NQF 4 (Matric or Grade 12)

  • 1 year experience in Claims, Litigation, Summons, Administration, Registration, or Data Capturing
