Administrative Officer Job Vacancy at SANBI – Pretoria

The South African National Biodiversity Institute (SANBI) is inviting suitably qualified, enthusiastic and highly motivated candidates to apply for the position of Administrative Officer in Pretoria, Gauteng.

The successful candidate will provide effective and efficient administrative and logistics support to divisions and/or senior managers within the Office of the Chief Executive Officer.

This is an opportunity for an experienced administrative professional to join SANBI and contribute to the effective functioning of the Office of the CEO.

Job Purpose

The Administrative Officer will provide comprehensive administrative, logistical, procurement and compliance support to the divisions and senior managers within the Office of the Chief Executive Officer.

The successful candidate will also be responsible for statutory record management, diary management, travel arrangements, board documentation, correspondence and other administrative services within the CEO's office.

Salary

SANBI offers a basic annual salary of R338,106.00 for this position.

Minimum Qualifications and Experience

Applicants must meet one of the following requirements:

  • National Diploma in Office Management and Technology, Public Administration or an equivalent qualification at NQF Level 6, together with 4 years' relevant work experience; or
  • Degree in Office Management and Technology, Public Administration or an equivalent qualification at NQF Level 7, together with 2 years' relevant work experience.

An added advantage would be:

  • Postgraduate qualification in Office Management and Technology or Public Administration at NQF Level 8.
  • Experience within the public sector.
  • Experience working in a statutory and compliance environment.
  • Experience relating to board matters.

A valid driver's licence is also required.

Key Performance Responsibilities

The successful candidate will be responsible for:

  • Providing effective and efficient administrative support to divisions and/or senior managers within the Office of the Chief Executive Officer.
  • Maintaining efficient statutory record management and retrieval systems.
  • Providing procurement and compliance support.
  • Organising and maintaining office diaries.
  • Coordinating travel arrangements and logistics for officials and Board members.
  • Preparing manual Board packs.
  • Quality-checking Board packs and circulating them within the required timeframes.
  • Managing incoming correspondence.
  • Managing communication with internal and external stakeholders.
  • Providing other administrative-related support services within the Office of the CEO.

  • Comprehensive knowledge and understanding of office administration and management principles.
  • Knowledge of corporate governance and practices at a senior level.
  • Extensive understanding of legislation, procedures, processes and systems relating to office administration.
  • Experience in financial administration.
  • Knowledge of supply chain management processes.
  • Knowledge and experience in implementing policies, practices, systems and Standard Operating Procedures.
  • Advanced planning, organising and problem-solving skills.
  • Ability to work effectively under pressure without compromising quality.

  • Excellent verbal and written communication skills.
  • Ability to handle highly confidential and sensitive information appropriately.

Computer Skills

Applicants should have advanced computer literacy and experience using Microsoft Office and related software tools, including:
