Job Purpose

The Receptionist is the first point of contact for patients, visitors, doctors and other stakeholders at the hospital.

The role involves welcoming and assisting patients and visitors, managing telephone calls and enquiries, assisting with patient admissions, supporting patients with digital platforms such as the Netcare Mobile App, and performing general administrative duties to ensure the efficient functioning of the hospital reception desk.

The ideal candidate should be friendly, organised and proactive, with excellent communication skills and an understanding of hospital operations.

Key Responsibilities

Greeting Patients & Visitors

  • Provide a warm and friendly welcome to patients, visitors, doctors and other stakeholders.

  • Direct patients to the appropriate departments and/or wards.

  • Assist patients and visitors with general information about hospital services, locations and procedures.

  • Ensure patients and visitors are comfortable while waiting.

Patient Admissions & Data Quality

  • Obtain and verify patient personal, medical aid and/or insurance information during admission or opening of a case.

  • Maintain accurate and up-to-date patient records on the SAP system.

  • Confirm patient information during every Emergency Department visit and/or hospital admission.

  • Ensure all relevant consent forms, Terms and Conditions and required documentation are completed, explained and signed.

  • Admit patients into the hospital, including online pre-admissions and direct admissions, in a timely and professional manner.

  • Accurately capture patient, contact person and account-responsible-person information on the SAP system.

  • Verify and validate information received during patient admission.

  • Assist patients with medical aid rules, benefits and co-payments through admission systems and web applications.

  • Obtain and appropriately store all required documentation on the SAP system where documentation has not been submitted online.

  • Ensure payments or letters of guarantee are received before admission and recorded accordingly.

  • Obtain and follow up on required patient admission authorisations.

  • Maintain patient confidentiality and adhere to governance processes relating to patient dignity and care.

  • Help create a seamless patient journey by ensuring the admission process is coordinated, efficient and welcoming.

Financial Risk Management

  • Receive cash and credit-card payments and process receipts according to standard operating procedures.

  • Generate accurate receipts for all payments received.

  • Ensure receipts reflect the correct value, payment method and person making the payment.

  • Deposit received funds into the secure drop safe.

  • Balance and reconcile payments.

  • Manage the petty cash float when required.

  • Accurately collect medical aid co-payments in accordance with patients' medical aid or insurance plans.

  • Verify upfront co-payment requirements using SAP popup messages.

Patient Information Verification

  • Confirm, verify and validate patient details, including name, date of birth, contact information and address.

  • Ensure required identification documents are provided and verified.

  • Accurately admit medical aid, international and COID patients, completing all required verifications and validations.

  • Obtain relevant authorisations for medical aid patients.

  • Verify and collect required COID documentation in accordance with hospital procedures.

  • Obtain a valid and relevant letter of guarantee for international patients.

  • Collect the required estimated deposit upfront for private and international private patients according to standard operating procedures.

General Enquiries & Telephone Duties

  • Answer telephone calls professionally and provide information or transfer calls to the relevant departments.

  • Assist with patient enquiries relating to services, procedures and locations.

  • Address patient concerns telephonically and provide appropriate information or referrals.

  • Attend to walk-in enquiries and assist with resolving them professionally.

  • Maintain effective working relationships with internal and external stakeholders.

  • Attend to patients, customers and visitors both telephonically and in person.

  • Answer telephone extensions within three rings using a friendly and professional greeting.

  • Accurately record messages and ensure they are delivered.

  • Transfer calls promptly and correctly.

  • Screen calls and transfer them to relevant staff members or doctors.

  • Handle basic patient enquiries.

  • Perform ad-hoc duties assigned by Reception Management.

General Administration

  • Maintain administrative records on the relevant systems.

  • Report statistics when required by management.

  • Perform general administrative duties as required.

  • Participate in monthly team meetings.

  • Inform the line manager of any absence or lateness in accordance with HR policies.

  • Provide patients with regular feedback regarding their admission status.

Maintaining the Reception Area

  • Prepare the reception area for each working day.

  • Ensure all front-desk activities are operational at the start of business hours.

  • Keep the reception area clean, organised and adequately stocked.

  • Ensure relevant marketing brochures and other required materials are available.

  • Monitor the waiting area and keep patients informed about delays.

  • Maintain a professional and welcoming environment.

  • Adhere to the Netcare dress code and uniform policy.

Confidentiality & Privacy

  • Protect patient privacy and confidentiality.

  • Comply with all applicable privacy requirements.

  • Ensure sensitive patient information is handled confidentially and securely.

Policies & Standard Operating Procedures

  • Maintain awareness of all relevant policies and standard operating procedures.

  • Adhere to applicable policies and procedures.

  • Comply with internal control frameworks and quality standards.

  • Report known policy or procedure transgressions to the line manager.

  • Support digitisation and data solutions that benefit the business and patients.

  • Support the adoption of CareOn electronic patient records.

  • Support online admissions.

Education

Essential

  • Grade 12 or equivalent NQF Level 4 qualification.

  • Computer proficiency.

Work Experience

Preferred

  • Previous experience in a hospital environment.

  • SAP ISH experience.

  • Previous experience in a customer service role.
