About the Role
The purpose of the Fleet Administrator position is to support the effective administration and management of the company's vehicle fleet.
The successful candidate will coordinate fleet-related processes, maintain accurate records, assist with fleet systems and reporting, and serve as an important point of contact for fleet-related queries.
The role also involves supporting vehicle leases, pool vehicles, vehicle disposals, reporting, and other fleet administration activities. The successful candidate will contribute to the smooth running of fleet services by providing proactive administrative support and engaging with relevant stakeholders.
Key Responsibilities
The Fleet Administrator will be responsible for a range of fleet administration duties, including:
Communication and Liaison
Act as a point of contact for internal fleet-related communication.
Handle enquiries relating to vehicle orders.
Assist with fuel card declines and related queries.
Provide updates regarding vehicle maintenance.
Pool Vehicle Management
Manage the availability of pool vehicles.
Issue pool vehicles as required.
Ensure proper utilisation and administration of pool vehicles.
Vehicle Disposal
Oversee the disposal process for Shoprite-owned vehicles.
Ensure that vehicle disposal processes comply with company policies and procedures.
Vehicle Lease Management
Administer vehicle lease agreements.
Assist with lease renewals and terminations.
Maintain relevant lease documentation and records.
Reporting
Prepare and provide monthly fleet-related reports to divisions.
Ensure fleet information is accurate and provided within required timeframes.
Project Assistance
Assist with fleet-related projects.
Support the setup of new fleet systems.
Assist with training employees on relevant fleet systems.
Administrative Support
Provide general administrative support to the Fleet Admin Manager.
Assist other members of the fleet team with administrative duties when required.
Requirements
Applicants should meet the following requirements:
Grade 12 / National Senior Certificate – Essential
Minimum of 2 years' experience in an administrative role – Essential
Experience in a car rental environment – Essential
Ability to work effectively as part of a team
Good communication skills
Advanced proficiency in MS Excel and PowerPoint – Essential
Strong attention to detail
Strong administrative skills
Skills and Competencies
The ideal candidate should be highly organised and detail-oriented, with strong administrative and communication abilities.
Experience within a car rental environment will be important for this role, together with the ability to manage records, respond to queries, work with fleet-related systems, and provide accurate information and reports.
Strong Microsoft Excel and PowerPoint skills are also required.
