Gateway is looking for a suitably qualified and experienced Ward Administrator to join its team. The successful candidate will be responsible for coordinating secretarial and billing duties within the ward, while also assisting patients, visitors, doctors and nursing staff with administrative requirements.
Job Summary
The incumbent will be responsible for the coordination of all secretarial and billing duties in the ward. The role also involves receiving new patients, visitors and doctors and providing administrative support to ensure the smooth operation of the ward.
Minimum Requirements
Applicants must meet the following requirements:
Grade 12 or equivalent NQF Level 4 qualification.
Knowledge and experience of SAP.
Computer literacy.
Work Experience
Two or more years of experience in a private hospital environment would be advantageous.
Key Responsibilities
The successful candidate will be responsible for:
Patient and Customer Support
Answering the telephone in a friendly and professional manner.
Taking messages for staff, patients and doctors.
Admitting patients into the ward and supporting patients while they await entry into theatre.
Ensuring that doctors and patients' families are informed of patient transfers.
Informing patients' families of discharges when requested.
Ensuring that patients complete Customer Satisfaction forms.
Ensuring that patient records are captured according to the standard operating procedure for patient admissions in the wards.
Administration and Billing
Coordinating secretarial and administrative duties within the ward.
Ensuring that all billing information is up to date on SAP through accurate data capturing.
Ensuring that reconciled files are brought down to Billings as requested.
Assisting with all general administrative tasks.
Taking minutes during staff meetings.
Ensuring that nursing staff are informed of new memorandums distributed by the business.
Stock and Financial Administration
Ensuring that stock is reconciled daily.
Maintaining stationery and ward stock at required levels.
Completing stock cycle counts and investigating variances.
Staff and Ward Support
Assisting with staff shift planning in the ward when required.
Completing maintenance job cards.
Ensuring that the nurses' station and ward reception area remain neat and tidy at all times.
