Job Purpose

The successful candidate will serve as the first point of contact for parents, learners, visitors, and staff. The role involves providing exceptional reception services, administrative support, and assisting with admissions and marketing activities to ensure the smooth operation of the school's front office.

Key Responsibilities

  • Welcome and assist parents, learners, visitors, and staff in a professional manner.

  • Manage the reception area and ensure visitor sign-in procedures are followed.

  • Answer, screen, and direct incoming telephone calls.

  • Respond to email enquiries promptly and professionally.

  • Coordinate and conduct school tours for prospective parents and visitors.

  • Support the admissions process by responding to enquiries, scheduling appointments, and maintaining records.

  • Provide administrative and clerical support to various departments.

  • Manage filing systems, data capturing, and the school's general email account.

  • Monitor stationery stock levels and coordinate stationery distribution.

  • Relay messages between parents and teachers when required.

  • Contact parents regarding learner illness or injury and issue early exit slips.

  • Coordinate prize-giving gowns, including ordering, distribution, and collection.

  • Assist with operational and logistical duties, including deliveries, collections, and transport administration.

  • Participate in admissions and marketing-related activities.

Minimum Requirements

  • Grade 12 (Matric) or equivalent qualification.

  • Previous experience in a reception, front office, administrative, or school secretary role.

  • Proficiency in Microsoft Word, Excel, and Outlook.

  • Excellent verbal and written communication skills.

  • Strong organisational and multitasking abilities.

  • Professional appearance and customer-service orientation.

  • Ability to work independently and as part of a team.

  • Ability to speak and understand Greek will be an added advantage.
