Job Description
Fidelity Services Group is seeking a highly organized and detail-oriented Administrator to join its Training Academy in Florida, Roodepoort. The successful candidate will provide essential administrative support to the academy by maintaining accurate records, managing learner information, coordinating training administration processes, and ensuring compliance with company policies and regulatory requirements.
This position is ideal for an individual who is service-driven, accurate, deadline-focused, and passionate about administration within a training and development environment.
Purpose of the Role
The Administrator will be responsible for ensuring the efficient administration of training activities, learner records, compliance documentation, filing systems, and training-related databases. The role also supports audit readiness and contributes to the overall effectiveness of the Training Academy.
Key Responsibilities
Training Administration
Capture learner information, attendance records, assessment results, assessor details, and moderator information accurately on relevant systems.
Update training records daily and ensure all information on HR Manage is accurate and complete.
Maintain course registers and ensure they are aligned with the correct training programmes.
Ensure all course documentation is submitted within required turnaround times.
Scan, upload, and manage training-related documents on company systems.
Monitor expiring permits, certificates, and compliance documents.
Record Management and Compliance
Maintain filing and archiving systems in accordance with compliance, Occupational Health and Safety (OHS), and POPIA requirements.
Support audit readiness by ensuring all records are accurate, complete, and easily accessible.
Submit weekly reports on actions taken to reduce internal and external audit risks.
Ensure compliance with company procedures and training standards.
Administrative Support
Complete administrative tasks including:
CRB checks
Permit administration
Eye test administration
Maintenance record updates
Task list management
Inkliwe-related administration
Assist with:
IFACTS administration
POSTING administration
ARAMEX administration
FORMAX administration
Asset management administration
Stationery and refreshment administration
Query Resolution and Support
Respond to learner, client, and internal stakeholder queries professionally within 24 hours.
Follow up on NCR items older than three weeks as reflected on course schedules.
Liaise with regional administrators regarding outstanding actions.
Escalate unresolved matters to the Senior Administrator when necessary.
Perform additional administrative duties as requested by management.
Minimum Requirements
Grade 12 / Matric certificate.
Previous administrative experience will be advantageous.
Experience within a Training, Compliance, Human Resources, or Learning and Development environment will be beneficial.
Computer literacy with proficiency in Microsoft Office.
Experience using HR Manage or similar systems will be advantageous.
Good verbal and written communication skills.
Ability to work accurately under pressure.

Ability to meet deadlines and follow up on outstanding matters.
