Core Purpose of the Role:

The Administrator: Commercial Back Office plays a key role in supporting sales and operational teams through efficient processing of customer orders, deliveries, and invoicing. The purpose of this role is to ensure accurate administration and documentation throughout the order lifecycle to ensure excellent customer service and smooth business operations.


Key Responsibilities:

  • Perform daily stock report checks to track equipment deliveries and readiness for invoicing (DDTC)

  • Monitor partial deliveries and confirm with customers whether partial delivery/invoicing is acceptable

  • Submit delivery and billing requests to the Billing COE using SAP

  • Process customer returns and initiate credit notes

  • Investigate any orders that remain uninvoiced

  • Accurately compile and process order documentation to ensure all necessary details are captured before submission

  • Provide support for end-to-end back-office functions related to order fulfilment and billing


Required Skills and Competencies:

Technical Skills:

  • Working knowledge of SAP systems

  • Proficiency in Microsoft Excel

  • Understanding of Back-to-Back Sales Processes

  • Familiarity with billing methodologies

  • Excellent attention to detail

  • Ability to work under pressure and meet deadlines

  • Strong organisational and planning skills

  • Good interpersonal skills and ability to follow procedures

Minimum Requirements:

  • Educational Qualification: Grade 12 (NQF Level 4)

  • Experience: Minimum of 2 years in a relevant role involving invoicing, deliveries, and order processing


Other Requirements:

  • Must be able to work extended hours when required

  • Role is hybrid remote, with some in-office responsibilities

  • Not billable (support function role)

  • Engagement with multiple levels of stakeholders across the organisation
