Job Summary

Spec-Savers Heidelberg is looking for a friendly, professional, and customer-oriented Frontliner to join their team. As the first point of contact for patients, the Frontliner plays a key role in creating a welcoming environment, handling inquiries, managing appointments, and assisting with various administrative tasks.


Minimum Requirements

Education:

  • Grade 12 / Matric (National Certificate)

Experience:

  • Previous experience in a customer service, receptionist, or administrative role

  • Experience in optometry, medical, or retail environment is an advantage

Skills & Competencies:

  • Excellent communication and interpersonal skills

  • Strong organizational and multitasking abilities

  • Proficiency in computer systems and appointment scheduling software

  • Attention to detail and accuracy

  • Good computer literacy (Word, Excel)

  • Sales skills

  • Team player and hardworking

  • Fluent in English (Knowledge of Oshiwambo and Portuguese is a plus)

  • Willingness to work flexible hours, including weekends

  • Knowledge of optical products and medical aid procedures is advantageous


Duties and Responsibilities

Patient Reception & Customer Service:

  • Greet patients warmly and assist during check-ins

  • Provide information on services and procedures

Appointment Scheduling & Management:

  • Manage, confirm, and reschedule appointments

Administrative Support:

  • Maintain and update patient records

  • Assist with insurance and general office duties

Optical Product Assistance:

  • Help patients choose eyewear and explain product options

  • Keep displays tidy and assist with stock

Billing & Payments:

  • Handle cash, card, and medical aid transactions

  • Assist with billing queries

Coordination & Communication:

  • Work closely with optometrists and staff

  • Communicate reminders, follow-ups, and promotions

General Support:

  • Maintain a clean reception and waiting area

  • Assist with daily operations as needed
