Key Responsibilities

Procedures and Policies

  • Adhere to and regularly improve legal department procedures.
  • Deliver monthly tasks and reports on time.

Contract Management

  • Ensure proper documentation for procurement and new business contracts.
  • Manage the lifecycle of contracts, including tracking milestones, renewals, and expiration dates.

Stakeholder Collaboration

  • Work with procurement, finance, and operations teams to gather contract-related information.

Record-keeping and Documentation

  • Maintain accurate records of contracts, amendments, correspondence, and related documents.
  • Document contract changes, approvals, and communications.

Legal Support

  • Stay informed on legal developments affecting contract administration.
  • Draft and finalise contracts with attention to formatting, accuracy, and compliance.

Administrative Duties

  • Organise digital and physical contract records.
  • Identify and address gaps in documentation or missing records.

Experience and Qualifications

Required:

  • National Senior Certificate (NSC).
  • Certificate or Diploma in Legal Support Services, Paralegal Studies, or Legal Secretary Studies.

Advantageous:

  • Bachelor’s degree in Law (LLB).
  • Short course in legal administration or document preparation (SAQA accredited).

Experience:

  • 2–5 years of relevant experience in contract administration or legal support.

  • Ensure compliance with legal standards and spot errors in documentation.

Organisation and Workflow Management

  • Maintain detailed records and manage priorities effectively.

Technical Proficiency

  • Advanced skills in Microsoft Office, especially Word and Excel.

Legal Knowledge

  • Familiarity with legal terminology, compliance standards, POPIA, and labour law.

Communication Skills

  • Strong verbal and written abilities for correspondence and stakeholder interaction.

Professionalism and Confidentiality

  • Handle sensitive information with discretion and reliability.

  • Proactively identify issues and implement effective solutions.
  • Adapt to changing priorities and varied tasks.

  • Contribute positively to a team-oriented work environment.
