Job Summary
Clover is seeking a dedicated Administrative Clerk for its Kimberley Distribution Branch. The successful candidate will be responsible for managing orders in the ERMS system, generating reports, printing invoices, and providing general administrative support. This role is crucial in ensuring smooth operations within the Distribution Department.
Key Responsibilities
Administrative Duties:
- Handle queries and ensure timely follow-ups.
- Print and manage invoices and load sheets.
- Capture data in ERMS and AS400, including Cashless transactions (Flash, Kazang, Shop to Shop).
- Process EFTs and handle manual banking tasks.
- Confirm and reconcile bank payments daily.
- Manage and report on petty cash transactions.
- Ensure proper filing and record-keeping for admin documents.
- Process and settle routes, ensuring unresolved routes are corrected daily.
- Update GRV (Goods Received Voucher) on the system.
- Assign and resolve resupply invoices and outstanding jobs older than 24 hours.
Communication and Coordination:
- Communicate with customers and employees as required.
- Assist with travel bookings and couriers.
- Provide support for visitors and ensure effective interaction with external stakeholders.
Reporting and Reconciliations:
- Generate daily reports on money balancing and route settlements.
- Reconcile Masakhane and Secondary transactions.
- Resolve queries raised by System Support (Danone) and Metro file promptly.
Requirements
- Education: Grade 12 or equivalent NQF4 qualification.
- Experience: 2–3 years of administrative experience, preferably involving senior management.
- Language: Fluent in Business English.
- Technical Skills: Basic computer literacy, knowledge of ERMS and AS400 systems advantageous.
- Work Conditions: Availability for shifts, weekends, and public holidays; capable of working in extreme conditions.
