We are currently seeking an Administrator to oversee and manage documentation, staff processes, stock, and consumables for our unit in Parow. This position supports the Contract Manager in ensuring efficient operations and high service standards.
Key Responsibilities
Administration and Documentation:
- Maintain up-to-date records of all business documentation.
- Ensure proper filing and security of unit documentation.
- Support month-end processes by ensuring timekeeping data is accurate and ready for extraction.
- Provide monthly consumables file to the Unit Manager for billing purposes.
Staff Training and Management:
- Train and enroll new cleaning staff.
- Assist in inducting new recruits and maintaining staff uniforms.
- Manage online training schedules for staff.
- Distribute payslips to employees.
- Handle termination documents and ensure employees receive their UI19 and exit documentation.
Stock and Consumable Management:
- Manage consumable orders and ensure consistent stock levels.
- Maintain stock records, ensuring accuracy and compliance with contract requirements.
- Manage the stock management app, generating and verifying weekly/monthly reports.
Communication and Coordination:
- Coordinate official meetings and distribute company information to staff.
- Maintain effective communication with line management regarding contract issues.
Payroll and Financial Oversight:
- Assist in managing payroll and resolving pay queries.
- Ensure compliance with payroll procedures and submission of necessary documents.
General Duties:
- Maintain high morale and motivation through clear communication.
- Attend meetings, training sessions, and conferences as required.
- Ensure alignment with company objectives.
- Manage and maintain cell phone controls and reporting.
Skills and Competencies
- Technical Skills: Proficient in MS Office (Excel advanced level advantageous), data capturing, and payroll systems (PRP knowledge is a plus).
- Financial Acumen: Strong financial background and experience in stock management.
- Leadership and Teamwork: Effective leadership skills, ability to work independently, and adapt under pressure.
- Attention to Detail: Meticulous in handling data and records with urgency and problem-solving expertise.
- Communication: Excellent verbal and written communication skills for internal and external collaboration.
Qualifications and Experience
- Education: Matric certificate required.
- Experience:
- 1–3 years in a similar administrative role.
- Cleaning supervisory experience with strong administrative skills is highly advantageous.
- Payroll and stock management experience are essential.
