The Road Accident Fund (RAF) is a South African state-owned entity responsible for providing compensation to individuals injured in road accidents. The Fund aims to provide appropriate cover and promote road safety.


Purpose of the Job

The Administrative Assistant will provide day-to-day administrative support to the Claims department. This role is responsible for ensuring efficient administrative processes, maintaining compliance, handling correspondence, supporting meetings, and managing records.


Key Performance Areas

Compliance Administration

  • Maintain up-to-date written documentation of departmental activities.
  • Ensure compliance with policies and process standards.
  • Stay informed of internal standards and business goals to ensure adherence to internal controls.

Office Coordination

  • Assist with office tasks, including correspondence, filing, and handling telephonic queries.
  • Maintain confidentiality in all office-related matters.
  • Follow up on outstanding matters and ensure all requests are addressed within set timelines.
  • Engage with Processing Centers to follow up on outstanding matters.
  • Ensure availability of stationery and office supplies within the department.
  • Validate and verify documents and information for accuracy and proper handling.
  • Ensure systems and registers are kept up to date, and report on duplicates.

Meeting Support

  • Assist in organizing department meetings and taking minutes.
  • Maintain a register for tracking outstanding matters and follow up on resolutions.
  • Manage team diaries and schedule appointments with stakeholders.

Document and Records Management

  • Administer the records management system according to the RAF filing plan.
  • Ensure the filing system is functional and up-to-date.
  • Manage the retrieval of information as requested and ensure confidentiality.
  • Allocate file numbers, record data on systems, and file documentation appropriately.

Qualifications and Experience

  • Education: Matric (Grade 12) certificate.
  • Experience: At least 1 year of administrative experience or in a similar role.

Behavioral Competencies

  • Strong planning, organizational, and coordinating abilities.
  • Emotional wisdom and decision-making skills.
  • High ethical standards and client service orientation.

Technical Competencies

  • Computer literacy in MS Word, Excel, and PowerPoint.
  • Strong administrative and organizational skills.
  • Good writing skills and ability to access required information.
  • Basic understanding of Supply Chain Management (SCM) processes and financial acumen.
