Job Overview
Motus Corporation is looking for an Administrator: Bookings to join the Toyota Bedfordview team in Edenvale, Gauteng.
The purpose of the position is to ensure that the service area is professionally managed while creating a welcoming and efficient experience for both telephonic and walk-in customers.
The successful candidate will be responsible for managing workshop bookings, coordinating customer appointments and completing relevant administration to ensure the aftersales customer experience meets and exceeds expectations.
Key Responsibilities
Professionally meet and greet customers when they arrive at the dealership.
Answer incoming telephone calls in a professional manner.
Schedule customer bookings for vehicle servicing and repairs.
Contact customers regarding campaigns and arrange the necessary bookings.
Prepare and circulate the following day's booking planning list to relevant dealership stakeholders.
Pre-print job cards for the next day's bookings.
Ensure all processes that contribute to effective bookings and a positive aftersales experience are followed.
Schedule bookings for customers whose vehicle parts have arrived and are ready to be fitted.
Ensure all relevant dealership processes and procedures are followed.
Provide callers with accurate and up-to-date information.
Handle telephone calls professionally, take accurate messages and ensure they are relayed promptly to the relevant personnel.
Ensure documentation is accurately and professionally prepared, stored and easily accessible.
Perform general administrative duties as requested by management.
Contact customers and close tickets as required.
Update planning boards for bookings scheduled for the following day.
Requirements
Experience
2+ years' experience as a Bookings Clerk or Service Receptionist.
Experience within a corporate or retail motor dealership environment is required.
Qualifications
Senior Certificate / Grade 12.
Additional Requirements
Valid, endorsed driver's licence.
Computer literate, including proficiency in the Microsoft Office suite.
Knowledge and experience using a Dealer Management System (DMS) is required.
