Fleet Controller

Location: Midrand, Johannesburg, South Africa
Division: Fleet Sales and Asset Finance
Job Type: Full-Time

Primary Purpose

To provide front-line service to customers by utilizing knowledge of the Fleet and Asset Division’s service offering. Ensure all client operational requirements are met accurately and timeously, in line with company policies and procedures.


Key Performance Areas

Finance

  • Minimize SLA service credits to maximize profits.

  • Manage fuel usage for contracted drivers.

  • Implement efficiency and cost-saving initiatives to reduce operational losses.

Customer Centricity

  • Respond to client requests promptly and meet turnaround expectations.

  • Follow up daily with suppliers to ensure service delivery.

  • Maintain a positive, helpful, and professional attitude.

  • Strive to achieve 100% service satisfaction and earn relevant performance certificates.

Operational Excellence

  • Accurately complete registers and documentation when issuing new units.

  • Capture Vehicle Inspection Reports (VIRs) into the system.

  • Coordinate the collection of terminated units, ensuring fuel cards, e-tags, trackers, and decals are deactivated.

  • Resolve all relief incidents within SLA timelines.

  • Monitor daily stock and relief pool fleet utilization.

  • Ensure timely delivery of fuel cards, e-tags, and license renewals.

  • Resolve incidents efficiently and within SLA; keep incident backlog minimal.

  • Manage major and minor tasks and open incidents.

  • Handle new or removed driver tag reports.

  • Schedule vehicle services and close service-related incidents.

  • Inspect panel-beaten vehicles for quality workmanship.

  • Liaise with insurance, panel beaters, and customers regarding repair scheduling and vehicle turnaround.

  • Monitor driver behavior using Telematics and support audits.

  • Manage high/low utilization vehicles, including under-/over-vehicle swaps.

  • Complete ad hoc projects as requested by the branch manager.

  • Handle admin duties like licensing, courier, stationery, etc.

  • Schedule vehicle maintenance according to OEM guidelines — no overdue services.

  • Manage car wash suppliers and inspect customer depots.

  • Safeguard spare keys and update the control register.

  • Allocate and manage productivity of outsourced drivers.

  • Manage EOC process including NOLA and stock control for VTC.

  • Act as branch safety officer (OHSA).

  • Oversee premises, including landlord and supplier relationships.

  • Maintain vehicle inspection standards and meet SLA inspection deadlines.

  • Program and distribute driver tags as needed.

  • Identify and resolve quality control issues.

Requirements

Qualifications

  • Matric with Fleet Administration experience or a Diploma in Fleet Management

  • Diploma in Road Transport Management (advantageous)

Experience

  • 1–3 years of experience in the Fleet industry, preferably in a leasing environment

  • Experience in client relationship management

  • Proficient in Microsoft Office and fleet management systems

Working Conditions
