Purpose of the Position

To provide financial and administrative support that enables the effective day-to-day operations of Lotus FM.


Key Responsibilities

Strategic & Administrative Support

  • Capture and organize strategic documents and meeting discussions.

  • Prepare materials for strategic engagements (templates, briefs, guidelines).

  • Plan and control administrative tasks for the station.

Contracts & Payments

  • Manage sourcing and processing of freelance contracts and payments.

  • Process supplier payments and staff claims (S&T and KM).

  • Handle general payment queries.

Diary, Meetings & Correspondence

  • Coordinate manager's internal and external meeting schedules.

  • Draft memos, minutes, and monthly reports.

  • Arrange venues and refreshments for meetings, farewells, workshops.

  • Accurately take and type meeting minutes.

Records & Filing

  • Maintain both electronic and manual filing systems.

  • Secure sensitive documents and ensure easy information retrieval.

Stakeholder Coordination

  • Assist and coordinate station visits.

  • Liaise with internal and external stakeholders and customers.

  • Address customer/client queries and complaints.

Compliance & Risk Management

  • Adhere to legal, editorial, and broadcasting regulations (including ICASA, PFMA, BCCSA).

  • Support the implementation of Standard Operating Procedures (SOPs).

  • Ensure compliance with OHS and corporate policies.

Teamwork & Leadership

  • Collaborate with other units in the station.

  • Mentor junior team members when required.

  • Participate in employee relations initiatives.


Minimum Requirements

  • Matric (Grade 12) and Certificate in Office Management/Administration (NQF Level 5 or equivalent)

  • 3 years' experience in an administration environment

  • Proficiency in SAP

  • Understanding of basic finance principles and PFMA

  • Knowledge of the broadcasting/media industry is an advantage
