Personal Assistant – Hollard Insure (Gauteng Region)

Purpose of the Role

To provide comprehensive PA and administrative support to the Business Unit, ensuring smooth coordination of tasks such as diary management, travel bookings, minute-taking, internal communications, event planning, and support of team operations.

Key Responsibilities

Diary management: Maintain electronic diary (bookings, reschedules, cancellations)
Meetings: Organise meetings and team events; handle logistics (venue, catering, etc.)
Minute-taking and administration: Compile and distribute minutes; assist with correspondence
Travel coordination: Book flights, accommodation; submit claims and invoices
Communication: Screen calls and emails, liaise with internal and external stakeholders
General support: Prepare PowerPoint presentations, compile reports/packs, assist with actuarial exam logistics and other ad hoc tasks
Team support: Assist other administrative staff, maintain contact databases, order corporate gifts, support DEI events

Requirements

Education

Matric (compulsory)
Relevant secretarial qualification

Experience

Minimum 5 years of experience as a PA at executive or MANCO level

Skills and Knowledge

Proficient in Microsoft Office (Teams, Word, Excel, PowerPoint) and Zoom
Excellent written and verbal communication
Strong organisational and multitasking abilities
Professional appearance and conduct
High emotional intelligence and discretion
Knowledge of corporate processes (invoicing, expense claims, training coordination)
