Purpose of the Position
The Data Capturer / Office Administrator will provide administrative support to programme teams and ensure accurate capturing, verification, and management of programme data on relevant electronic systems. The role also includes general office administration duties and support to site leadership.
Minimum Requirements
Education:
-
Grade 12 / Matric or equivalent
-
Business Administration Certificate or similar qualification
Experience:
-
Minimum of 2 years’ experience in an administrative role
-
Previous experience as an office administrator
-
At least 3 years’ experience in HIV, AIDS and STI programmes
-
Experience in data capturing, database maintenance, updating and basic data analysis
-
IT or networking experience will be an advantage
Additional Requirements:
-
Computer literacy (MS Word, Excel, PowerPoint)
-
Proficiency in English and at least one other South African language
-
Excellent organisational and administrative skills with strong attention to detail

Valid Code 8 driver’s licence
Key Duties and Responsibilities

Liaise with internal and external stakeholders

Implement and maintain administration systems

Capture programme data from mobile and outreach teams

Follow up with staff to ensure data forms are completed accurately and submitted on time

Store, maintain and back up electronic and hard-copy data

Verify data for completeness, consistency and accuracy

File and manage electronic and physical records
-
Validate data and compile reports when required
-
Engage regularly with Peer Educators, HAST Counsellors and PNCs to address data-related issues

Retrieve client records during consultations
-
Manage walk-in client headcount registers
-
Provide general office management and administrative support
-
Capture and monitor employee data
-
Perform filing, record keeping and minute-taking

Manage office communications, documents and correspondence

Order office supplies and manage office resources
-
Type documents and utilise MS Office applications

Attend meetings, functions and events
-
Organise diaries and appointments

Handle guests and stakeholder engagements
