Purpose of the Role:
To provide high-level, professional administrative support to the Managing Director. This includes managing schedules, communication, travel, events, and confidential matters while maintaining smooth workflow and effective coordination across stakeholders.

Key Responsibilities:
Administrative Support:
-
Manage MD’s calendar and appointments
-
Organize meetings, divisional and group functions, and events
-
Arrange venues, prepare agendas, itineraries, and logistics
-
Handle emails and calls on behalf of the MD
Travel & Finance:
-
Book travel and prepare itineraries
-
Reconcile travel and expense reports for approval
Communication & Documentation:
-
Draft and prepare reports, presentations, and executive packs
-
Conduct research and compile data for strategic decisions
-
Maintain accurate filing systems (paper and digital)
Stakeholder Engagement:
-
Act as liaison with internal and external parties
-
Maintain confidentiality and professionalism at all times
Leadership & Compliance:
-
Serve as custodian of the gifts and hospitality register
-
Lead and support the Support Services team
-
Uphold Weir’s zero-harm safety culture
Qualifications & Experience:
Minimum Requirements:

Bachelor's Degree or National Diploma in Office Administration or related field

Previous experience as a personal or executive assistant
Skills & Competencies:

Advanced proficiency in MS Office (Excel, Word, PowerPoint, Outlook)

Strong written and verbal communication skills

Excellent organization and time management

Able to work independently and take initiative

High level of discretion, professionalism, and integrity
