Job Description

AVBOB is looking for a highly organized individual with strong numerical skills to fill the position of Senior Clerk: Assets within the Fixed Properties department. This role involves maintaining asset records, processing modifications, handling write-offs, and ensuring proper asset management in compliance with company policies.

Key Responsibilities

Audit Reports

  • Print and process audit reports from auditors.

  • Capture and validate data in the system.

  • Investigate shortages and discrepancies.

  • Compare audit reports with the asset register.

  • Ensure timely and accurate processing of audit reports.

Asset Modifications

  • Verify asset modification forms from Area Managers for accuracy.

  • Follow up on corrections and submit forms to the Finance department.

  • Ensure corrections are made in the asset register.

Asset Write-Offs

  • Process asset write-offs based on written instructions.

  • Maintain accurate records and track approvals.

  • Ensure replacement of written-off/stolen equipment.

Vehicle Audit Control

  • Maintain and monitor vehicle audit reports.

  • Track system changes and discrepancies.

  • Manage records for written-off vehicles.

Asset Transfers

  • Process and track asset transfers (furniture, equipment, vehicles, IT assets).

  • Ensure all systems are updated and aligned.

  • Manage disposal of written-off assets and confirm proper disposal.

General Office Administration

  • Maintain records of asset modifications and outstanding issues.

  • Update spreadsheets and systems with accurate data.

  • Handle queries from branches.

  • Complete ad-hoc duties as required.

Reporting

  • Submit and maintain monthly reports on outstanding asset modifications.

  • Reconcile vehicle inspection forms from agencies.

  • Provide reports to Fleet, Fixed Property, ITC, and Area Managers.

Job Requirements

  • Grade 12 (Matric)

  • 3 years' experience in fleet and/or office administrative management

  • Computer literacy (MS Office)

  • Strong time management and organizational skills

  • Excellent interpersonal skills
