Job Summary

We are seeking a detail-oriented and efficient Secretary to provide comprehensive administrative and clerical support within the Project Control Department. The role requires expertise in organization, communication, and proficiency in relevant software and systems to ensure effective department operations.


Minimum Requirements

  • Education:

    • Matric
    • Secretarial/Administrative Qualification
    • Basics in Project Management
  • Experience:

    • 4 years in an Administration Assistance role
  • Skills:

    • Proficient in MS Office
    • Knowledge of SAP systems: Project System, Investment Management (Costing), Materials Management, CATS, Cost Centre Expenditure, and Profit Centre Expenditure

Primary Duties

  1. Administrative Support:

    • Provide administrative assistance for all approved projects.
    • Ensure filing systems (both soft and hard copies) are up to date.
    • Prepare correspondence, minutes, and various documents.
  2. Procurement and Reporting:

    • Prepare and submit reports for committee evaluations.
    • Generate SAP reports and track project progress.
    • Manage procurement-related activities.
  3. Office Management:

    • Order and maintain office stationery.
    • Arrange venues, travel, and refreshments for meetings and functions.
  4. Record Keeping:

    • Scan and file documents systematically.
    • Maintain accurate financial records for the department.
  5. Additional Responsibilities:

    • Perform any additional administrative tasks required by the department.

Required Knowledge and Skills

  • Knowledge:

    • Strong interpersonal and written communication skills.
    • Understanding of procurement procedures.
    • Attention to detail and high accuracy levels.
  • Skills:

    • Effective communication and people management.
    • Problem-solving and leadership abilities.
    • Advanced computer literacy, especially in MS Office.
