Job Overview

Afinta Part is looking for an enthusiastic and organized Administrator to join our team at the Jet Park branch. This role is key in supporting the smooth running of branch operations by performing essential administrative duties, handling cash transactions, and assisting with various office tasks. The ideal candidate will have strong numerical skills, a good eye for detail, and the ability to manage multiple tasks efficiently while maintaining a high level of accuracy.

Key Responsibilities

1. General Administrative Support:

  • Perform a range of administrative functions to support the branch’s daily activities.
  • Relieve the cashier or Cash on Delivery (COD) clerk when required, ensuring smooth handling of transactions.
  • Answer phone calls and handle switchboard duties, directing inquiries to the appropriate departments.
  • Match COD invoices on the system each day, ensuring accuracy and completeness.

2. Cash Handling and Customer Transactions:

  • Take customer deposits, receipt them accurately, and ensure all cash is banked promptly according to company policies.
  • Receive payments for debtors’ accounts and process these efficiently to maintain up-to-date records.
  • Print daily reports of outstanding CODs and follow up on any discrepancies to resolve issues quickly.

3. Creditors and Invoice Management:

  • Process sundry creditors’ invoices, verifying the correctness of all documents before sending them to Head Office for payment.
  • Gain a full understanding of creditor processes, including the authorization of invoices and identification of errors or unusual items.
  • Manage a portfolio of branch suppliers, handling any queries and following up on missing invoices or statements as needed.
  • Assist in the preparation of monthly Sustainability Reports and other required administrative tasks.

4. Filing and Document Management:

  • Ensure that all invoices, receipts, and other important documents are filed correctly on a daily basis.
  • Maintain organized and accurate records, making it easy to retrieve documents when required.

Qualifications and Experience

  • Minimum Requirements:
    • Matric certificate with passes in Accounting and Mathematics (Higher Grade preferred).
    • Proficiency in MS Excel and Word, with the ability to use these tools effectively for data entry and report generation.
