Job Purpose
The Assistant Forwarding Controller will support the Forwarding Controllers in their daily tasks, using initiative to ensure efficient communication and processes. This role involves collaborating with Controllers, Importers, and agents to handle forwarding functions effectively.
Qualifications & Experience
- Education:
- Matric (Grade 12)
- Tertiary education is advantageous
- Experience:
- Minimum of 2 years’ experience in forwarding/clearing
- In-depth knowledge of seafreight, import procedures, and documentation
- Familiarity with ocean and house bills of lading, and understanding of landside charges
Key Responsibilities
- Receive and capture indents on CargoWise; monitor indents via email and CargoWise.
- Oversee the RCG (Reporting and Clearance Gateway) process.
- Manage document flow, create files, and upload documents onto CargoWise.
- Liaise regularly with co-loaders, shipping lines, and depots to obtain Statements of Booking (SOBs) and handle groupage container unpacks.
- Track shipments, update CargoWise, and keep clients and Controllers informed of any issues.
- Correct and update order management details on CargoWise.
- Provide necessary documents to the Sea Import Department and external agents promptly to avoid storage charges.
- Capture data accurately on CargoWise; process and deliver invoices to the Import Department and agents.
- Pre-capture Consols and ensure Arrival Notification Forms (ANFs) are sent out at least 5 working days before vessel arrival.
- Verify agent, credit note, and carrier invoices against agreements; upload invoices on CargoWise for payment.
- Advise Head Office daily on Forex exposure.
- Ensure charges align with client agreements; resolve discrepancies to secure credits.
- Prepare statements of charges.
- Authorize shipment releases upon verifying negotiable documents and payment of charges.
- Complete pro-forma invoices before the estimated time of arrival (ETA).
- Handle the de-group function for all documents from overseas agents.
- Support other Controllers based on urgency, backlogs, and staff shortages.
- Address FQMS queries and handle rejections from Entries.
Skills & Competencies
Skills:
- Proficient in MS Office and general computer use
- Strong oral and written communication skills for interfacing at all levels
- Ability to meet deadlines and work under pressure, including after-hours if needed
- Strong numerical skills
- Methodical, organized, with an analytical mindset
Competencies:
- Able to manage clients with complex forwarding needs
- In-depth technical knowledge and understanding of import processes
- Comprehensive knowledge of incoterms and container equipment
- Ability to find practical solutions for clients
- Strong geographic knowledge
