Job Purpose

The Administrative Assistant will support daily administrative functions within the Onboarding Department, focusing on compliance, coordination, and record management.

Key Performance Areas

  1. Compliance Administration

    • Keep department documentation updated.
    • Ensure compliance with policies and standards and align with internal control measures.
  2. Office Coordination

    • Follow up on pending matters, handle requests within set timelines, and manage department stationery.
    • Verify information for accurate documentation and maintain systems.
    • Identify duplicates, allocate reference numbers, and assign tasks.
    • Draft and dispatch letters to stakeholders.
  3. Meeting Support

    • Schedule and arrange meetings, take and distribute minutes, and track pending issues.
    • Maintain a follow-up system for meeting outcomes.
    • Organize appointments with stakeholders.
  4. Document and Records Management

    • Manage records and filing according to RAF guidelines.
    • Keep the filing system functional and up-to-date, ensure document confidentiality, and retrieve information as needed.

Qualifications and Experience

  • Education: Matric/Grade 12 certificate.
  • Experience: At least 1 year in an administrative role or similar environment.

Competencies

Behavioral:

  • Planning and coordination, personal mastery, decision-making skills, ethics, and client service orientation.

Technical:

  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Strong organizational, administrative, and writing skills.
  • Basic understanding of Supply Chain Management (SCM) processes and financial knowledge.
