Job Purpose

The Administrative Assistant supports day-to-day operations in the Adjudication department, assisting with compliance, coordination, and document management.

Key Performance Areas

  1. Compliance Administration

    • Maintain updated documentation related to business activities.
    • Ensure adherence to policies, process standards, and internal control measures.
  2. Office Coordination

    • Follow up on outstanding matters and ensure timely responses.
    • Manage departmental supplies, validate document information, and maintain system records.
    • Check for duplicate documents and queries, allocate reference numbers, and assign tasks to team members.
  3. Meeting Support

    • Arrange department meetings, take minutes, and distribute them according to governance standards.
    • Track and follow up on outstanding matters and resolutions.
    • Manage team diaries and schedule appointments with stakeholders.
  4. Document and Records Management

    • Oversee records management and filing per RAF standards.
    • Ensure document confidentiality and availability, and maintain a functional filing system.

Qualifications and Experience

  • Education: Matric/Grade 12 certificate.
  • Experience: Minimum of 1 year in an administrative or similar environment.

Competencies

Behavioral:

  • Planning and coordination, personal mastery, decision-making skills, ethics, and client service orientation.

Technical:

  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Strong organizational, administrative, and writing skills.
  • Basic understanding of Supply Chain Management (SCM) processes and financial acumen.
