Job Purpose
The Administrative Assistant supports day-to-day operations in the Adjudication department, assisting with compliance, coordination, and document management.
Key Performance Areas
Compliance Administration
- Maintain updated documentation related to business activities.
- Ensure adherence to policies, process standards, and internal control measures.
Office Coordination
- Follow up on outstanding matters and ensure timely responses.
- Manage departmental supplies, validate document information, and maintain system records.
- Check for duplicate documents and queries, allocate reference numbers, and assign tasks to team members.
Meeting Support
- Arrange department meetings, take minutes, and distribute them according to governance standards.
- Track and follow up on outstanding matters and resolutions.
- Manage team diaries and schedule appointments with stakeholders.
Document and Records Management
- Oversee records management and filing per RAF standards.
- Ensure document confidentiality and availability, and maintain a functional filing system.
Qualifications and Experience
- Education: Matric/Grade 12 certificate.
- Experience: Minimum of 1 year in an administrative or similar environment.
Competencies
Behavioral:
- Planning and coordination, personal mastery, decision-making skills, ethics, and client service orientation.
Technical:
- Proficient in MS Office (Word, Excel, PowerPoint).
- Strong organizational, administrative, and writing skills.
- Basic understanding of Supply Chain Management (SCM) processes and financial acumen.
