Job Purpose

The Administrative Assistant will provide daily administrative support to the Onboarding Department, ensuring efficient office operations through compliance, coordination, and records management.

Key Performance Areas

  1. Compliance Administration

    • Maintain and update documentation related to department activities.
    • Ensure adherence to policies and standards, aligning with internal controls.
  2. Office Coordination

    • Follow up on pending tasks and respond to requests within deadlines.
    • Manage department stationery and validate information for accurate documentation.
    • Keep systems up to date, identify duplicates, assign tasks, and draft letters to stakeholders.
  3. Meeting Support

    • Organize meetings, take minutes, and distribute them as per governance standards.
    • Track and follow up on meeting resolutions and pending issues.
    • Schedule appointments with both internal and external stakeholders.
  4. Document and Records Management

    • Manage records and filing per RAF standards, ensuring confidentiality and timely information retrieval.
    • Allocate file numbers, log data in the system, and maintain an organized filing structure.

Qualifications and Experience

  • Education: Matric/Grade 12 certificate.
  • Experience: At least 1 year in an administrative or similar environment.

Competencies

Behavioral:

  • Skills in planning, organizing, coordinating, decision-making, and client service.

Technical:

  • Proficiency in MS Word, Excel, PowerPoint.
  • Strong organizational, administrative, and writing abilities.
  • Basic knowledge of Supply Chain Management (SCM) and financial understanding.
