Job Overview:
Join our dynamic and dedicated Finance team as a Clerk General III at Worcester Bakery. This is an excellent opportunity for an individual with a strong background in financial administration and clerical duties, particularly in invoice management and reconciliations. The successful candidate will be responsible for maintaining the accuracy of financial records, ensuring smooth day-to-day operations, and contributing to the overall efficiency of our finance department.
Key Responsibilities:
Invoice Management:
- Filing all invoices systematically to ensure they are easily accessible for future reference.
- Regularly following up on outstanding invoices to ensure timely payments and avoid discrepancies.
- Liaising with suppliers and internal departments to resolve any invoice-related issues or delays.
IDC Balances:
- Monitoring IDC (Inter-Departmental Charges) outstanding balances, ensuring that all balances are up-to-date and accurate.
- Investigating discrepancies in IDC balances and taking necessary actions to resolve them.
- Providing timely reports on IDC balances to senior finance staff.
Reconciliation and Capturing:
- Ensuring the accurate capturing of reconciliations, including cross-referencing invoices, credits, and payments.
- Assisting in the preparation and management of monthly reconciliation reports to ensure financial accuracy.
- Working with the finance team to audit and verify the accuracy of records, ensuring alignment between financial records and actual payments.
General Clerical Support:
- Providing general administrative support to the finance team, including managing documents, spreadsheets, and databases.
- Assisting with other ad-hoc duties as required by management, such as compiling reports or handling specific financial projects.
- Handling sensitive financial data with discretion, ensuring confidentiality is maintained at all times.
Required Qualifications & Experience:
Education:
- Matric certificate or equivalent qualification is a minimum requirement.
Experience:
- At least 3 years of relevant experience working in a reconciliation or finance-related environment, with a proven track record in managing invoices and conducting financial reconciliations.
Skills:
- Proficiency in MS Office, especially Excel, is essential.
- Strong organizational and clerical skills, with the ability to manage multiple tasks efficiently.
- Excellent communication skills (both written and verbal) to interact with colleagues, suppliers, and management effectively.
- Attention to detail and accuracy in handling financial data.
- The ability to work independently and meet deadlines in a high-pressure environment.
