Job Overview

South African Airways Technical (SAAT) is seeking a HR Admin Assistant to join its Human Capital business unit in Kempton Park, Gauteng.

The successful candidate will provide administrative support to the Maintenance Training Department, with a particular focus on training records, data capturing, examination administration, reporting, document management and AMOS system support.

The role requires a highly organised and detail-oriented individual who can work independently, maintain accurate records and provide effective administrative services to managers, instructors, MIP's and other stakeholders.

Job Purpose

The purpose of this position is to perform administrative functions and ensure the maintenance of training records and accurate data capturing within the Maintenance Training Department.

Key Responsibilities

1. AMOS Super User Responsibilities

The successful candidate will perform Super User duties for AMOS, including:

  • Testing new version updates.

  • Checking that reports function correctly.

  • Assessing changes to versions and their impact on the Maintenance Training Department.

  • Updating High, Love and QWIM business processes.

  • Creating training manuals and updating revisions.

  • Creating theoretical and practical examinations.

  • Ensuring sign-off is completed before implementation dates.

  • Creating User Report Specifications.

  • Creating User Acceptance Testing (UAT) reports.

  • Creating functional and test reports for new report requirements.

  • Assisting IT with AMOS screen dumps for report creation and issue resolution with Swiss AMOS.

  • Testing reports before sign-off.

  • Requesting reports to be added to the Swiss AMOS reporting system and coordinating the required access.

  • Checking HR and QA interfaces daily and requesting assistance where required.

  • Creating new course codes and templates.

  • Training staff when required.

2. Data Capturing and Training Administration

Responsibilities include:

  • Creating daily class and attendance lists.

  • Capturing QMP examinations on QMP On Demand.

  • Printing class and attendance lists.

  • Printing practical examinations and envelopes.

  • Capturing class lists and filing class and attendance documentation.

  • Filing practical examination envelopes.

  • Printing certificates and TETA carry cards and laminating carry cards.

  • Arranging signatures from instructors and managers.

  • Controlling certificate records and maintaining issue registers.

3. Counter and Departmental Service

  • Providing an efficient counter service.

  • Providing effective administrative support to Department Managers and MIP's.

  • Assisting internal stakeholders with training administration requirements.

4. Annual Training Schedule

  • Assisting the Manager with the correct codes for the Training Matrix used by QA to establish the annual schedule.

  • Checking the annual schedule for accuracy before implementation.

  • Assisting with meetings to discuss the annual scheduling process with MIP's.

5. General Administration

  • Maintaining a secure filing system.

  • Ordering stationery.

  • Managing PC and copier consumables.

  • Processing staff transfers and creating new employee files.

  • Removing files for employees who leave the company.

  • Updating the Training Prospectus.

  • Creating new annual class and attendance files.

  • Moving records to archives.

  • Shredding old examination material after five years.

6. Examination Administration

Provide administrative services for own-time and full-time examinations for Maintenance staff and customers, including:

  • Opening class lists.

  • Capturing examinations.

  • Printing practical examinations and envelopes.

  • Capturing class lists.

  • Issuing certificates.

7. Payments and Procurement Administration

  • Preparing payment requisitions for primary and secondary payments.

  • Forwarding payment requisitions to HR for processing.

  • Assisting with administrative procurement requirements.

8. Classroom and Training Coordination

  • Coordinating and arranging classroom bookings.

  • Providing reports to Managers and Instructors.

  • Defining reporting fields.

  • Creating technical training statistical reports.

  • Providing training to MIP's.

9. Budget and Asset Administration

  • Monitoring the Admin Office budget.

  • Preparing budget reports.

  • Identifying anomalies and initiating corrective action.

  • Ensuring the safe custody of examination materials.

  • Controlling and safeguarding laptop computers and projectors.

Minimum Qualifications

Applicants must meet the following requirements:

  • Grade 12 / Matric or equivalent with a one-year certificate in Administration or HR – Essential.

  • Diploma at NQF Level 6 – Advantageous.

  • Valid driver's licence – Essential.

Experience Requirements

  • 5 years' HR experience in a Technical Training Administration Officer environment – Essential.

  • Experience working with training and skills development suppliers – 2 years, advantageous.

  • Good knowledge of AMOS – 2 years, essential.

  • Comprehensive knowledge of:

    • Microsoft Office, including Microsoft Access.

    • Snipping Tool.

    • SAP.

    • QMP On Demand.

    • PDF editing software.

    • Willingness to learn new programmes.

    2 years' experience – Essential.

Knowledge and Skills

The ideal candidate should have:

  • Knowledge of the SAAT organisation.

  • Knowledge of SAAT Training and Skills Development policies.

  • Knowledge of relevant legislation and policies, including:

    • Labour Relations Act (LRA).

    • Employment Equity Act (EEA).

    • South African Qualifications Authority (SAQA) requirements.

    • Skills Development Act (SDA).

    • Basic Conditions of Employment Act (BCEA).

  • Knowledge of SAAT procurement policies.

  • Strong Microsoft Word and Excel skills.

  • Good general administration skills.

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills.

  • Supervisory skills.

  • Understanding of a broad range of technical topics, including auditing processes.

  • Typing speed of 40 words per minute with an accuracy of 90% or better.

  • Good knowledge of SAAT policies and procedures.

  • A valid Code B driver's licence and TVOP licence.
