About the Role

Tsebo Facilities Solutions is seeking a Site Administrator to support the day-to-day administration and service delivery at site level. The role ensures customer satisfaction in accordance with the service agreement.

As part of Tsebo Solutions Group, a leading African Integrated Workplace Management Solutions Provider, the successful candidate will contribute to reducing client costs and complexities, while increasing quality, efficiency, and productivity. Tsebo operates in various sectors including Facilities Management, Catering, Cleaning, Hygiene, Pest Control, Protection, Procurement, and more.


Key Duties & Responsibilities

General Office & Facilities Support:

  • Maintain cleanliness of office, kitchens, ablutions, and common areas.

  • Replenish consumables as required.

  • Prepare and serve refreshments.

  • Report breakages or losses of kitchen items.

  • Perform ad hoc duties as needed.

  • Support other TFS site personnel as required.

Stock & Consumables:

  • Maintain stock levels of consumables and cleaning materials.

  • Report shortages and follow up on stock availability.

Financial Administration:

  • Monitor orders and ensure timely submission of supplier invoices.

  • Verify completion of jobs and services before processing invoices.

  • Ensure compliance with expenditure controls and financial policies.

  • Adhere to invoice cut-off dates.

Service Quality Monitoring:

  • Perform random inspections to assess service quality.

  • Support the document management team in maintaining client information.

  • Ensure contractors comply with invoicing timelines and quality standards.

Customer Focus:

  • Foster a customer-focused culture.

  • Handle customer queries promptly or escalate appropriately.

  • Conduct client satisfaction surveys.

  • Support compliance and operational efficiency.

  • Manage customer expectations and follow up on issues.

Reporting:

  • Prepare and submit monthly reports as required.

  • Represent Tsebo professionally.

Skills and Competencies Required

  • Proficiency in MS Office

  • Knowledge of equipment, materials, and suppliers in facilities management

Qualifications & Experience

  • Minimum Education: Grade 12 (Non-Negotiable)

  • Additional:

    • Relevant tertiary education in a technical or administrative field

    • Computer literacy (MS Office, Infor EAM preferred)

    • Knowledge of cleaning and refreshment service practices

    • Minimum 3 years of experience in a similar role

    • Experience in Helpdesk Operations Management is an advantage
