Purpose of the Role
To deliver professional, front-line reception and administrative support by managing visitor experiences, handling bookings, and ensuring that workplace reception services are efficiently executed in line with Tsebo’s service standards and client requirements.
Key Duties and Responsibilities
Visitor & Client Services

Welcome and direct all visitors professionally
-
Record all visitors in the register and ensure proper host sign-off
-
Provide venue and amenity information to clients and guests
-
Assist with basic concierge services (e.g. taking messages, booking meeting rooms, arranging catering)
Meeting Room & Facility Management
-
Ensure meeting rooms are clean, set up, and equipped (e.g. water jugs, glasses, cables, whiteboards)
-
Conduct daily inspections of rooms and technical equipment
-
Clean and reset rooms after use
-
Track and plan bookings at least 48 hours in advance

Report maintenance issues to the TFS call centre
Customer Service & Communication

Handle client inquiries, concerns, and service requests

Escalate unresolved issues to management
-
Follow up on all queries and ensure client satisfaction

Report feedback and complaints to the Helpdesk

Support soft and technical services operations
Reporting & Administration

Maintain accurate records and logs
-
Prepare weekly/monthly reports
-
Compile required statistics and documentation
-
Manage lost & found notifications
