Purpose of the Role:

To provide comprehensive personal support to the Head of HART and deliver efficient office administration services to the broader team. This includes coordinating internal events, supporting marketing efforts, and ensuring smooth day-to-day operations across the HART and Centres of Excellence (COE) functions.


Key Responsibilities:

Office & Personal Administration:

  • Diary and calendar management for management team

  • Coordinate travel and accommodation within budget and policy

  • Handle all correspondence, typing, filing, and internal communication

  • Manage stationery and supply needs

  • Screen and manage queries, requests, and complaints professionally

Meeting & Event Coordination:

  • Take and distribute meeting minutes and agendas within 2 weeks

  • Organise team events, workshops, catering, and visitor logistics

  • Prepare briefing documents, presentations, and reports

Documentation & Compliance:

  • Maintain confidentiality and proper document control

  • Manage the Conflict of Interest Register

  • Assist in preparing and tracking expense claims and requisitions

  • Support the Underwriting Manager with financial reports

Client & Stakeholder Engagement:

  • Liaise with internal and external stakeholders

  • Respond to and resolve client queries quickly and professionally

  • Ensure high levels of customer satisfaction


Minimum Requirements:

  • Matric + Secretarial or Marketing Certificate/Diploma

  • Advanced MS Office proficiency (Word, Excel, PowerPoint)

  • 5+ years’ experience as a PA, Office Administrator, or in Marketing/PR
