Position: Administration Assistant
Location: Rosebank
Reporting To: Manager – CEO Office
Start Date: Immediate
Number of Positions: 1

This role represents the face and voice of PPC Group. As the first point of contact, you will greet visitors and manage calls in a professional and welcoming manner. You will also take responsibility for office facilities and administrative support, ensuring that day-to-day operations run smoothly.


Minimum Requirements

  • Diploma in Front Office Management, Administration, or a related field

  • Minimum of 3 years’ experience in a Reception and Administrative Assistant role

  • Minimum of 3 years’ experience in facility operations

Special Requirements:

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Experience with SAP ERP

  • Skilled in operating a switchboard

  • Knowledge of facility management operations


Duties and Responsibilities

  • Welcome and accommodate visitors, clients, and job candidates

  • Operate the switchboard and direct inquiries to relevant departments

  • Coordinate and prepare meeting rooms in collaboration with cleaning staff

  • Manage incoming and outgoing courier and mail

  • Oversee the appearance and operations of reception and office facilities

  • Provide office and facility management support to the CEO’s Office Manager

  • Maintain a supplier and service provider database

  • Procure and administer office supplies, ensuring proper stock control

  • Process invoices and submit them to Finance in accordance with procedures and budget controls

  • Prepare and submit expense claims with appropriate approvals

  • Collaborate with HR to maintain updated contact lists of staff

  • Administer the access control system and generate monthly reports

  • Maintain organized filing systems and general administrative tasks

  • Perform additional duties as assigned by your line manager
