Purpose of the Job

Assist in managing the administrative processes within the Bakery Production Department.


Key Responsibilities

Stock Management:

  • Assist the Manager with physical stock counts at month-end.

  • Compare daily counts on production statements and identify variances.

  • Assist with production bin reconciliation.

  • Conduct weekly mini month-end counts.

Consumables:

  • Order consumables for production and maintenance according to plans and stock needs.

Raw Material Planning:

  • Help complete grist change documentation.

Production Graphs and Stats per Shift:

  • Track performance daily, weekly, and monthly.

  • Complete OEE (Overall Equipment Effectiveness) and help investigate variances.

  • Check production statements for accuracy.

Health & Safety and Food Safety Files:

  • Print registers for the Head of Department.

  • Conduct walkthroughs on an ad hoc basis.

  • Compile H&S matrix from received documents.

Time and Attendance:

  • Monitor daily absenteeism.

  • Check time sheets from the wages clerk for accuracy.

  • Verify weekly time sheets and leave forms against the Jarrison system.

  • Assist with reporting, leave planning, and creating shift rosters.

  • Handle HR communication for vacancies.

  • Compile and file scorecards in employee files.


Key Competencies (Knowledge, Skills, Abilities)

  • Understanding of stock management and production processes

  • Proficient in Excel (graphs and formulas)

  • Strong Word skills

  • Good people skills and effective communication

  • Proactive problem-solving mindset


Qualification Requirements

  • Matric (Grade 12)


Experience Requirements

  • 3–5 years' experience in a similar environment (advantageous)

  • Flour industry knowledge (advantageous)


Key Outputs

  • Ability to work under pressure

  • Required to work Saturdays, Sundays, and Public Holidays as per operational needs

  • Working hours: 6:00 AM to 3:30 PM
